Importing termbase data

To import already existing termbase data into your termbases, follow the steps below.

Before you begin

Make sure that:
  • You have an *.mtf.xml file.
  • You have an appropriate filter for the data, which will allow you to restrict the entries you import.
  • You have an import definition you can use with the import.

Procedure

Procedure

  1. Click File > Open Termbase .
    • To open an online termbase, select Servers to connect to the server where your termbase is located, then click Log in. Select which termbase you'd like to open, and click OK.
    • To open a local termbase, click Browse and select an .SDLTB file.
  2. Open the Termbase Management view. In the navigation pane, find your termbase and click Import to view your available import definitions. If you do not have an import definition, click Create on the ribbon. See Creating an Import Definition to learn how to create and set up a new import definition.
  3. Select an import definition, then click Process on the Home tab. This displays the Import Wizard.
  4. On the General Settings page:
    • Click Browse to select a MultiTerm .XML file from local storage. This is the file you will be importing data from.
    • Enable Fast Import only if you use high quality MultiTerm .XML files. MultiTerm imports data fast, without validating it. If you select this option without ensuring the import file is high quality MultiTerm .XML data, you may import unreliable and incorrectly structured data.
    • Enable Perform full reorganization after the import if you want to perform a more lengthy reorganization during import. Selecting this option rebuilds the indexes from scratch directly in the import wizard, avoiding the need of a later manual reorganization. If you do not select this option, a much quicker soft reorganization is performed anyway to ensure basic functionality.
    • Enable Apply Filter if you want to filter incoming entries.
  5. Click Next. If you did not enable Fast Import on the previous page, the Validation Settings page is displayed. Here you can specify the settings for an optional validation of the entries you are importing into your termbase:
    • Choose the name and save location of the Exclusion File. Termbase entries that failed a validation check are excluded from import and placed in an Import exclusion file. The exclusion file is an .XCL file which can be used to identify the terms that failed the import. These terms can be added to your termbase manually, or through a corrected export file if possible.
    • Check Allow incomplete entries to import entries with insufficient fields. When the import is complete, you can search for incomplete entries in MultiTerm and add the missing information. If you do not select this option, the Import wizard adds entries with insufficient fields to the exclusion file.
    • Check Allow over-complete entries to import entries that have more fields than specified in the termbase definition. The additional fields and data are not added to the existing termbase definition. If you do not select this option, the Import wizard adds entries with extra fields to the exclusion file.
    • Select Ignore sublanguages to ignore sublanguages when importing entries. If you do not select this option, the Import wizard adds terms to the correct sub-language. However, if the input file contains sub-languages but the termbase does not, the import wizard will not create sub-languages as part of the import.
  6. On the Import Definition Summary page, review your import settings and click on Next to start the import.
  7. Once the import is complete, click Next, then Finish to complete the wizard.
