Adding Keywords

A Category is a general classification in which a list of Keywords can be created.

Before you begin

To add a Keyword (to a Category or Keyword), you must have Category Management rights and Write permissions for the Category.

About this task

Create a Keyword to add a value to a Category, or to create a subcategory of Keywords defining a deeper level of classification. There are two kinds of Keywords:

  • an abstract Keyword—defines a generic quality or characteristic of an object or thing. An abstract Keyword contains a logical grouping of Keywords defining a deeper level of classification (concrete Keywords). You cannot classify content against abstract Keywords.
  • a concrete Keyword—defines a specific value against which you can classify content.

For example, you would define Size as an abstract Keyword which contains child Keywords Small, Medium, and Large. A Component 'Shirt' cannot have as a value Size, but can be categorized as being Small, Medium, or Large.

Procedure

  1. Open the Content Manager Explorer.
  2. Expand the Publication in which you want to add Keywords to a Category and open the Categories and Keywords node.
  3. Select a Category or Keyword and do one of the following:
    • choose New > Keyword from the context menu
    • click the New Keyword icon on the toolbar
  4. In the General tab, fill in the following fields:
    • Value—a text value which must be unique within the Category. The value cannot contain any of the following characters: & | ; ! ( ) = , < >
    • Description—a description of the Keyword
    • Key—a text value that is unique across the Blueprint and that can be used to associate an external resource to the Keyword, for example a product ID
    • Abstract—check box to indicate whether the Keyword is an 'abstract' Keyword as opposed to 'concrete'. An abstract Keyword contains a logical grouping of Keywords defining a deeper level of classification.
    • Related Keywords—are used to create non parent/child Keyword relationships such as see also links and related topics. For example, you can relate a Holiday Type Keyword to Sports Equipment Keyword.
    • Metadata Schema—(optional) select a Metadata Schema and enter values in the fields that appear. A Keyword may have a default Metadata Schema assigned (at a Category level) which you can override.
  5. To add a related Keyword:
    1. Click the Insert button next to the Related Keywords field.
    2. In the dialog, navigate to the Keyword you want to relate this Keyword to. Select a Keyword and click Insert.
    3. Repeat the procedure to add more related Keywords, or click Close to close the dialog.
  6. Do one of the following:
    • To continue to add Keywords, click the Save and New button on the toolbar.
    • To finish adding Keywords, Click the Save and Close button on the toolbar.

Results

The Category or Keyword in which the Keyword is created is updated to include the new Keyword.
