Managing external comments

You can use the Comment Dashboard from the Web Client to manage comments left by visitors to your documentation web site. This interface is only for comments left on Dynamic Documentation, and not used to manage comments left by internal reviewers in a Collaborative Review server.

Before you begin

An administrator must first enable the commenting pane in Dynamic Documentation as well as the commenting dashboard in the Content Manager Web Client (which makes a Comments menu item available in the Web Client).

To use the commenting dashboard, you need credentials as a Content Manager user.

About this task

There is no user groups or authentication for visitors to Dynamic Documentation. Comment Dashboard allows you to:

  • View all comments in the system.
  • Vew, edit, change status, delete or reply to a single comment.
  • Use a link from the comment to view the original topic in Dynamic Documentation.
  • Select and delete multiple comments.
  • Filter the comments based on properties such as dates, language, publication, comment status and user.
  • Change the status of a comment from New to Approved, Declined or Completed.

Procedure

  1. In your browser, navigate to the Web Client.
  2. From the slide-out navigation menu, select Comments.
    The Commenting Dashboard is opened so you can manage External Review Comments.
  3. Scroll through all the comments in the system, or filter the list to find specific comments based on the dates, publications, user, etc.
  4. When you have found the comment you are looking for you can either:
    • Select the publication or topic link to view the comment in the context of the topic in Dynamic Documentation.
    • Or, select the comment to view the entire comment thread in a sidebar and edit, delete or reply to the comment.
    • Or, use the drop-down menu for the status of the comment, to change the status from the default New to something else.
  5. Finally you can delete comments with their replies by selecting one, some or all comments then Delete.
    When you delete comments, the comments and any replies in their threads are deleted from the system and can not be recovered.

Results

As a result of managing comments you can review all or parts of the feedback the visitors provide, and decide on the suitability and status of their opinions. Finally you can provide replies to the users directly in a comment.
