Creating and updating a Dynamic Address Book

A Dynamic Address Book contains a list of Contacts that share common interests, preferences or characteristics. A Dynamic Address Book is defined using filters. Contacts are added automatically to the group depending on whether their field values match the criteria defined in the search filter.

Before you begin

To create or manage a Dynamic Address Book you must have System Administrator privileges.

Procedure

  1. Open Content Manager Explorer.
  2. In the System Administration view, navigate to the Audience Management node.
  3. In the Administration tab of the Ribbon toolbar, select New Address Book.
    A New Address Book window appears.
  4. To edit a Dynamic Address Book, select the Dynamic Address Book you want to edit and choose Properties from the context menu.
  5. In the General tab, enter a Name. In the Based on drop-down list you can select an Address Book to base your Address Book on, in which case filters defined in the parent Address Book are included with the filters defined in the child Address Book.
  6. In the Details tab, specify Contact's extended details you want to filter.
  7. In the Categories and Keywords tab, you can specify Keyword criteria to filter Contacts on their assigned Keywords:
    1. Click Add.
    2. Browse to and select a Keyword.
    3. Click Insert.
    4. Repeat the procedure to add more Keywords.
    5. (Optional) If you are specifying multiple Keywords as criteria and you want the Segment to include only those Contacts that match all the defined Keywords, select the Limit results checkbox at the bottom of the page. Otherwise, the Segment will include Contacts that match any one of the Keywords, but not necessarily all of them.
      • You have two Keywords to categorize Contacts based on the contact type, either Business Contact and Consumer Contact. In this case, you probably would not want to use the Limit results option because the desired behavior is to include Contacts tagged with either the "Business Contact" or "Consumer Contact" Keyword.
      • You have added one Keyword to select Contacts based on their being tagged as a "Business Contact" and added a second Keyword select Contacts that are tagged as "European Contact" — in this case, you select Limit results so that the Segment will require a match on both Keywords.
    6. To remove a Keyword, select it click the Remove button.
    7. Click Close when you have finished adding Keywords.
  8. Click the Save and Close button on the toolbar.

Results

The Dynamic Address Book contains Contacts who meet the search criteria specified. Updating a Dynamic Address Book by changing the filters will likely result in Contacts being added and/or removed from the Address Book.

What to do next

When you have added an Address Book you need to make it available to users by assigning it to Publications. You do this in the Audience Management tab of a Publication.
