Creating import definitions
About this task
When you import termbase data, you can also create an import definition. Use the Import wizard to specify the import settings you want for the import. Save the import settings to create a new import definition.
To create an import definition:Procedure
- Open the Termbase Management view.
- In the navigation pane, find your termbase and select Import.
- Click on Create.
This displays the Import wizard.
- In the Import wizard:
- Enable Save import settings when closing the wizard if you wish to save this import definition in the Import tab for future use.
- Enable Run import before closing the wizard if you want to also import termbase data after creating the import definition.
- Click Next to go to the Import Definition Name page.
- On the Import Definition Name page:
- Choose a name for your import definition. This is the name your import definition will use in the Import tab, if you selected Save import settings when closing the wizard.
- Enter a description for your import definition. The information you enter here is not prescriptive. For example, if you created this definition based on the files exported from another Terminology tool, then you could tell the user which tool this definition is for.
- Click Next to go to the General Settings page.
- On the General Settings page:
- Click Browse to select a MultiTerm .XML file from local storage. This is the file you will be importing data from.
- Enable Fast Import only if you use high quality MultiTerm .XML files. MultiTerm imports data fast, without validating it. If you select this option without ensuring the import file is high quality MultiTerm .XML data, you may import unreliable and incorrectly structured data.
- Enable Perform full reorganization after the import if you want to perform a more lengthy reorganization during import. Selecting this option rebuilds the indexes from scratch directly in the import wizard, avoiding the need of a later manual reorganization. If you do not select this option, a much quicker soft reorganization is performed anyway to ensure basic functionality.
- Enable Apply Filter if you want to filter incoming entries.
- Click Next. If you did not enable Fast Import on the previous page, the Validation Settings page is displayed. Here you can specify the settings for an optional validation of the entries you are importing into your termbase:
- Choose the name and save location of the Exclusion File. Termbase entries that failed a validation check are excluded from import and placed in an Import exclusion file. The exclusion file is an .XCL file which can be used to identify the terms that failed the import. These terms can be added to your termbase manually, or through a corrected export file if possible.
- Check Allow incomplete entries to import entries with insufficient fields. When the import is complete, you can search for incomplete entries in MultiTerm and add the missing information. If you do not select this option, the Import wizard adds entries with insufficient fields to the exclusion file.
- Check Allow over-complete entries to import entries that have more fields than specified in the termbase definition. The additional fields and data are not added to the existing termbase definition. If you do not select this option, the Import wizard adds entries with extra fields to the exclusion file.
- Select Ignore sublanguages to ignore sublanguages when importing entries. If you do not select this option, the Import wizard adds terms to the correct sub-language. However, if the input file contains sub-languages but the termbase does not, the import wizard will not create sub-languages as part of the import.
- On the Import Options page, choose how to process new entries:
- Select Add import entry as new to import all entries in the import file in the same order as they appear in the import file. Selecting this option will take you to the Import Definition Summary page.
- Select Synchronize entries on entry number or Synchronize entries on term to choose how to process their corresponding entries on the Advanced Options page.
- Click Next. If you did not select Add import entry as new, the Advanced Options page is displayed. Here you can decide how to synchronize entries.
- If you selected Synchronize entries on term in the previous step, first choose a language from the drop-down list. You can choose one of the languages located in the .XML import file.
- Specify how to synchronize entries if the term/entry number does not exist in the target termbase.
- Add import entry as new: Adds entries to the termbase as new entries with a new term/entry number.
- Omit entry: Omits the entries in the import file that have the corresponding term/entry number in the termbase.
- Omit entry and write to output file: Writes all entries in the termbase that do not have a corresponding term/entry number in the termbase to the output file. You can check the output file after the import and decide what you would like to do with these entries. As the output file is in XML MultiTerm format, you have the option of importing this data later under a different criteria.
- Specify how to synchronize entries if the term/entry number already exists in the target termbase.
- Add import entry as new: Adds entries to the termbase as new entries with a new term/entry number.
- Omit entry: Omits the entries in the import file that have the corresponding term/entry number in the termbase.
- Omit entry and write to output file: Writes all entries in the termbase that do not have a corresponding term/entry number in the termbase to the output file. You can check the output file after the import and decide what you would like to do with these entries. As the output file is in XML MultiTerm format, you have the option of importing this data later under a different criteria.
- Merge entries: Merges the import file entry with the entry with the same term/entry number in the termbase.
- Overwrite existing entry with import entry: Replaces the entry in the termbase with the corresponding entry in the import file.
- Click Next to go to the Import Definition Summary page, and review your settings. If you enabled Run import before closing the wizard on the opening page of the wizard, click Next to start the import.
- Click Next, then Finish to complete the wizard.
