Defining the tasks
You define tasks in the Workflow Edit window
Procedure
- In the workflow edit window (the window displaying the workflow), use the task icon bar displayed to the left of the workflow diagram to add new tasks to the template. See Roles.
Note: To create additional custom task icons, see Customizing Contenta Icons. - To add a task to your workflow diagram, click on the icon that represents the task you want to add, and then click in the workflow edit window.
- Double-click on the new icon to open the Task Properties window, or select the task and then click Edit > Properties.
By default it opens with the General tab selected.
- Complete the fields to define the task as described below.
Field Description Name The default value is the name of the task icon you selected to create the new task. You can modify this field to customize the name of your new task.
The task name must not contain spaces—for example, if the task is “edit and format” enter as edit_and_format.
Due Date Do not specify a due date when creating a template. Leave this field blank to allow individual project managers to enter the specific due date for their projects.
Project reporting uses this field to help project managers track project status.
Icon Select an Icon for the task. The default value is the icon you selected to create the task. - Click the Role tab to define the role and team members for the new task.
Complete the fields as described below.
Field Description Role The default value is ProjMan.
Click the selection button to the right of the field to choose from a list of available roles. The roles delivered with the Contenta software and any new roles you have created appear in the list.
Define new roles using the Contenta Administration Tool (see Roles and Tool Boxes).
Available Users Contains the names of users assigned the selected role. Team Members You can leave this field blank when creating a workflow template to allow individual project managers to assign team members for their specific project demands.
Add and remove users by double clicking the user name, or by selecting the user and clicking the arrows between the two lists.
- Click OK to save your workflow template.
