Forwarding objects in a Content Routing Project

You can forward selected objects in a Content Routing Project.

About this task

The Routing Task displayed in the Active Task field defines what tasks are available in the Forward tool to select when the Forward tool is launched. The Routing Task also determines what objects will be forwarded. Only objects with the same Routing Task as the task displayed in the Active Task field are eligible for forwarding. The task displayed in the Active Task field must match the Routing Task of the objects you want to forward.

Procedure

  1. Select one or more objects under the ContentRoutingProject object in the object display area for which you are the Routing User.
    If you are projman for the Content Routing Project you can force the forward of objects that are at a task for which projman is not the Routing User or team member. All tasks in the workflow are available to the projman in the Active Task field.
    1. Right-click and click Forward from the pop-up list to launch the Forward tool.
    The Forward Objects dialog box appears.
  2. Click To task to access a list of the next available tasks in the workflow.
    If there is only one task to which you can forward the child object, only that task appears. If there are multiple tasks in the list, select the task to forward the child object to by clicking on the task in the list.
  3. Click Add team members to access a list of users assigned to the selected task.
    • If there is only one user assigned to the task, only that user appears.
    • If there is a user list, select the user to forward the object by clicking on the name in the list by clicking the right arrow to move a user's name to the Team Members column.
    • If forwarding to a workpool, select the appropriate workpool.
  4. When you forward the last child object for which you are the Routing User, the ContentRoutingProject will be removed from your desktop.
    Click the Keep the project on desktop if you want to keep the Content Routing Project on your desktop, even though you will not have write access.
  5. You can enter notes for the next user in the Notes content area in the center of the dialog box. If you do not enter a note, only the system generated note is sent, which contains information about the forward action—that is, from which Content Routing Project, who sent it and when.
  6. Click Forward.
    The Forward Object dialog box disappears, and Contenta:
    • Places the ContentRoutingProject object on the desktop of the user selected to be the next Routing User making the forwarded objects accessible to the new Routing User.
    • Transfers object ownership to the new Routing User.
    • Sends a forwarding note to the new Routing User’s desktop.
    • Updates the object’s Routing Task, Routing User, Routing History and Current Routing.
    • Performs the trigger command if one is specified in the workflow.
    • Updates the Routing Task and Routing User for the Content Routing Project’s child objects on your desktop making the objects read-only to you. If you forward all of the objects assigned to you in the Content Routing Project to another task, the ContentRoutingProject object will be removed from your desktop unless you select the Keep the project on desktop check box in the Forward tool window.
