Forwarding objects in a ContentRoutingProject

When you have completed the task assigned to you in the workflow, you must forward the modified objects to the next task and user in the workflow.

Forwarding to another task and user transfers ownership and access to the forwarded objects. You can only forward objects that were forwarded to you, objects for which you are the Routing User. When you forward the objects, you no longer have write access to the forwarded object(s) and the recipient becomes the new Routing User (owner).

The Forward To tool is available for each object in a Content Routing Project. A user is allowed to forward one or more objects to another task or user without affecting other objects in the Content Routing Project. For example, a writer can forward just the data objects that are ready for review to the reviewer task and continue to edit the other data objects while in the same Content Routing Project.
  • A user can forward one, more or all objects for which they are the Routing User to the next task.
  • Forwarding an object in a Content Routing Project places a project lock on the ContentRoutingObject object. The project lock does not prevent other team members from modifying the data object when forwarded to the team member.
  • When a user forwards an object with child objects, only objects which are assigned to the current Routing User and the Routing Task selected from the Active Task field will be forwarded and assigned to the next user. Objects that are already assigned to other tasks or users are not forwarded.
  • By default, only a Routing User and users assigned the role of ProjMan for that Content Routing Project have access to objects in a ContentRoutingProject object. When a user forwards the last object in a Content Routing Project for which they are the Routing User, the ContentRoutingProject object is removed from their desktop or workpool. However a user may elect to keep the ContentRoutingProject object on their desktop when they forward it.
  • When multiple objects are selected, the Forward To list displays the available next tasks based on the current task of the first object selected.

A ContentRoutingProject object appears on a user’s desktop if one or more its child objects has been forwarded to the user. The Content Routing Project will display all of its objects but the user will only have permissions for the objects forwarded to them, the objects for which they are the Routing User. Other objects in the Content Routing Project will be read only. Objects in a Content Routing Project can be assigned to different users and tasks based on the workflow.

The ContentRoutingProject object itself does not move through the workflow, it remains at the Start task in the workflow. A ContentRoutingProject object does not have a Routing Task or Routing User. The default task for a ContentRoutingProject object is Start.

There are two additional fields, Routing Task and Routing User, displayed in the object display area for child objects of a ContentRoutingProject object. Only the child objects of the ContentRoutingProject object have Routing Task and Routing User. Routing Task displays the current task for the object and Routing User displays the name of the user who is current owner of the object.

The routing history for objects in a Content Routing Project is available in the Routing History tab in the information display area or under Properties. The routing history for a Content Routing Project child object begins at the task selected in the Active Task field when the data object was dragged or reused into the Content Routing Project.
