Forwarding the project to another team member

This task explains how to forward a standard Project to the next team member in a workflow.

Before you begin

The SysAdmin or ProjMan must have set up the workflow, including tasks, assignments, and sequencing.

About this task

Workflow team members perform tasks in sequence. After completing a task, a user forwards the project to the next user and task in the workflow.

The user receiving the project then performs the tasks assigned to him or her in the workflow, and then forwards the standard Project to the next user. This continues until all tasks in the workflow have been completed.

Forwarding a project to another user transfers ownership. Only the current user (owner) can access the standard Project for modifications. However, the project always remains accessible to the SysAdmin or ProjMan, who can gather information about any task in the workflow, at any time.

The current user (owner) can modify the project's data according to the permissions assigned to his or her current role. For example, a project in the review task may allow the reviewer to modify an object's property sheet, but not edit the data.

Procedure

  1. In the tree view, click a standard Project.
  2. In the details view, click Workflow.
  3. Click the next task to perform.
    The Forward Project dialog box appears.
  4. Complete the tasks associated with forwarding the standard Project:
    1. In the To task field, click a task from the drop-down list.
    2. In the User field, click a user from the drop-down list.
    3. Optionally, enable the Notify receiver by email and List all possible tasks check boxes.
    4. Optionally, in the Note type-in field, enter a note for the next member in the workflow.
  5. Click Forward.
