Performing an advanced search

You can perform an advanced search to refine your search criteria.

Before you begin

Prior to using Search in Contenta Web, the SysAdmin must have built the index (or Solr collection). See "Configuring Search" in the Contenta Administrator User Guide for information about search collections. As content is added, deleted, or modified, the collection is updated dynamically, requiring no further action by you.

About this task

To complement quick search in the list view, Contenta Web has an advanced search interface (which searches object names, object content, and object property sheet metadata). You specify advanced search input from a window that has user interface elements to help you visually build your search criteria.

Advanced Search shares a common window with Power Search. This window uses dividers to separate the search functions, with Advanced Search located in the top pane. You can click outside the Advanced Search window to dismiss it

Procedure

  1. To the right of the search type-in field in the Repository view, click the Advanced link.
  2. From the drop-down list, located to the top-left of the Advanced Search window, click the scope of the search.

    My Projects

    Available to only ProjMan and SysAdmin users.

    When you click Project Management, this option searches the objects under the tree view.

    My Assignments

    Available to all users.

    When you click Assignments, this option searches the projects and project contents assigned to the current user.

    All Configurations

    Available only if you have the Configuration object on your desktop.

    When you click Search, this option searches the Contenta database.

    Current Location

    Available to all users.

    When you click Repository, this option searches projects from the current container, or searches the currently selected project in the object hierarchy in the tree view.
    • If the current location is from a project or within a project on the desktop, it will search content and property sheet metadata within that project.
    • If the current location includes projects within a config, it will return search matches from projects. Current Location will also search content and property sheet metadata when used on a project within a config, so that it will work similarly to projects on a desktop.
  3. When you click on the Advanced link, you will see the following configuration for the That match the following: field: If you click on the Add more conditions link, a number of useful drop-down fields will appear:
    1. Use the First field (pull-down menu) to search by Content, or by Any Property to search data in the property sheet metadata fields.
    2. Use the Second field (pull-down menu) to search using the Boolean operators. Click contains the words, contains any of the words, or contains the phrase. The options listed will change depending on what is selected in the First field. The options listed here are the ones that appear if Content is selected; if the First field is changed to Any Property, then the second box's options will change to contains and does not contain.
    3. Use the Third field (type-in field) to enter alpha-numeric characters.
    4. Optionally, click Add more conditions to enter more than one set of search criteria.
  4. Optionally, refine your search using the Match Case option.
  5. Limit the results per page by clicking an option in the Show items per page drop-down list.
  6. Sort your search results by clicking either Rank or Name in the Sort results by drop-down list.
  7. Click Search.

    A list of objects that match your search criteria appears in the Results window, ordered by frequency of matches (Rank) (see Searching for information). You can further refine this list by entering a string in the type-in field, which is located at the upper-left of the search results list. To located the object in the S1000D object hierarchy, double click an individual result. The object hierarchy in the Tree view expands to reveal the object.
