The Workflow
Every ContentRoutingProject and Project has a Workflow assigned to it.
The workflow includes the following elements.
- Tasks—what needs to be done
- Roles—who is going to do the work
- Routing—the order in which the tasks must be accomplished
- Workflow template
- Project Workflow
The Workflow template
A workflow template is a set of tasks, task routes, and roles that are necessary to complete a project. They may be configured and maintained by the Contenta System Administrator (sysadmin) or the Project Manager (projman). They exist on the desktop of both users. This means that the templates can be accessed and edited by selecting your desktop (the sysadmin or projman desktop) then opening the Project menu and selecting Workflow Templates. Users with a default desktop do not have access to the workflow templates. A A workflow template may be used for a ContentRoutingProject or a Project.
The project Workflow
When the Project Manager creates a ContentRoutingProject or Project, he or she must assign a workflow template to it. Contenta makes a copy of the workflow template and attaches it to the ContentRoutingProject or Project. This copy is the project workflow and is independent of the workflow template. The Project Manager can edit the project workflow and assign specific users to roles and tasks in the workflow; and he or she may also edit the workflow routes, tasks, or roles
Changing the project workflow does not affect the workflow template. Conversely, changing the workflow template does not affect a workflow in an existing ContentRoutingProject or Project. The workflow template and the project workflow are independent entities.
