Adding the Workpool to a Workflow

After you create a workpool, you can assign it to a task in a project’s workflow.

About this task

You do this so that all users in the workpool can work on the task concurrently. Note:

  • When a project is forwarded to a workpool, it appears under the workpool object on the users’ desktops.
  • When the project is forwarded by any user in the workpool, it is removed from all workpool users’ desktops and sent to the next task and user.

To add the workpool to a workflow template:

Procedure

  1. Log in to the Contenta Explorer as the sysadmin user.
    If you do not know the password for sysadmin contact your system administrator.
  2. Click on a desktop object.
  3. Click Project > Workflow Templates.
  4. Click the workflow you want to modify, and then click Open or double-click the workflow.
  5. Click the task to which you want to assign to the workpool.
  6. Click Edit > Properties or double-click on the task to display the Task Properties window.
  7. Click the Role tab.
  8. Click the workpool that you want to assign to the task.

    The workpool and all users assigned to the workpool are listed individually in the Available Users list.

  9. Click the workpool from the Available Users list, and then click —> to add the workpool to the Team Members list.

    If you also add individual users to the Team Members list, it provides the user who is forwarding the project the ability to select the workpool or an indivTask Propertiesidual user to which to send the project.

  10. Click OK to exit the window.
  11. Click: File > Exit to exit the workflow edit window.

    If you did not previously save the changes, you are prompted to confirm saving the changes.

    • To save changes and exit the workflow edit window, click Yes.
    • To cancel the modifications and exit the workflow edit window, click No.
    This procedure assigns the workpool to the task in the workflow template only.
    • Standard Projects or ContentRoutingProjects created after the modification that are assigned this template have this workpool assignment.

    • It does not change the workflows already assigned to projects.

      To add a workpool to a task in a project’s workflow, clcik the project, and then access the workflow edit window.
