Creating a Desktop/Adding a User
You can create a desktop or add a user.
Procedure
- Log in to the Contenta Explorer as the sysadmin user.
If you do not know the password for sysadmin contact your system administrator.
- Click on the sysadmin desktop.
- To create a new ProjMan desktop, click File > New Desktop > ProjMan.
- To create a new Default desktop, click File > New Desktop > Default.
A New Desktop property sheet appears.Note: Custom desktops appear under the File > New Desktop option; they do not appear under the File > New Object option. Permission to create a desktop is automatically granted to the sysadmin user. Since the Default (user) and ProjMan desktops can only be created on the sysadmin desktop, the sysadmin is the only user who has permissions to create desktops.
- Complete the required property sheet fields as described in the following table.
Field Description Name Required. Enter a name to identify the Contenta user desktop.
This field is displayed as the desktop name in Contenta Explorer.
You can enter up to 63 characters for the desktop name.Note: If in excess of 49 characters, do not use the desktop name as the login name. Login name as a 49 character limit, see below.Login Required. Default is the data entered in the Name field.
You can change the default by entering a login name for the user. This is the name the user enters in the login form to access Contenta Explorer.
The value for Login can be different from the user’s desktop name, operating system login, or network login.
You can enter up to 49 characters for login name.
Password Required. Enter the password the user must use to log in to Contenta Explorer.
The password is independent of the user’s operating system or network login. It can be modified by the user after the initial desktop creation if the appropriate privileges are assigned—see Roles and Tool Boxes and Properties and Property Sheets.
You can enter up to 63 characters in this field.
Ver Password Required. Verify that you entered the password correctly by typing it again in this field.
Roles Optional (recommended). Specify a role or roles for the user.
Click the button to the right of the entry field to choose from the list of available roles. You can choose more than one role for each user.
Important: If you are creating a ProjMan desktop, be sure to select the ProjMan role.Custom roles must be defined before they can be assigned to users—see Creating a Role or Tool Box.
User Access Level Required. Enter the access level for the user desktop. The default value is secure.
A user can only access objects with data access levels equal to, or lower than their user access level.
Click on the pop-up button to the right of the entry field to display the list of available user access levels.

User Info Optional. Note:- A Role does not have to be selected to successfully create the desktop; however, if a role is not selected, the user cannot be assigned any tasks in your projects’ workflows.
- The User Toolbox field may be displayed and modified during desktop creation if necessary. The default value for the User Toolbox for ProjMan is ProjMan; the default for a Default user desktop is Desktop. See Assigning User Tool Boxes for more information.
- Enter user information by clicking in the User Info field to access the New User Info form shown below.
This information is optional and does not affect the creation of the desktop if not completed.
- Optional: Complete the new user info fields as described in the following table.
Each field can contain up to 75 alpha-numeric characters.
Field Description Full Name Enter the full name of the user. Email Enter the user’s e-mail address. Phone Enter the user’s phone number Contact Info Enter other information about contacting the user. - Click OK to add the user to the Contenta database and to exit the property sheet.
The ProjMan or Default desktop icon appears in the object display area.Note: When you save a desktop property sheet, Contenta checks to make sure that all the roles in the property sheet are valid. An error occurs if you list roles in the desktop property sheet that have been deleted from the Contenta database. Either remove the invalid role from the desktop property sheet, or add the role to the Contenta database using the Contenta Administration Tool.
To provide user access to objects in a configuration, you must copy the configuration to the user’s desktop. Note:
- Users cannot modify objects in a configuration unless they have permissions in their BASE_TOOLS tool box or their user tool box to do so.
- Use the Edit > Paste Reference command to create a read-only copy of the configuration object.
