Projects and Workflow
A standard Project or a Content Routing Project (ContentRoutingProject object) is a controlling container object that contains work undergoing authoring or modifications.
The project manager (ProjMan) or system administrator (SysAdmin) creates the project and populates it with objects containing data that needs authoring or modifications. Any new data in an object that resides in a project is retained in the project until they are approved and the object is posted to the configuration. The Modify Postlist tool is assigned to users who have the authority to update the database with changes made in the project. Users can read although not modify the post list if they have the Read Postlist tool in their toolbox.
When the project is created, a workflow is assigned to it. The workflow identifies the tasks required to complete the necessary work. The project creator edits the workflow to meet the needs of the specific project—for instance, roles are associated with the tasks. the project creator assigns users to the tasks according to their assigned role. For example:
- Mary, John, and Ivan are assigned the role of reviewer—this is done when their desktops are created and they are allowed access to the Contenta database.
- The project manager creates a project and edits its workflow. S/he assigns the reviewer role to the workflow task for reviewing updates.
- When the reviewing task is associated with the reviewer role, Mary, John, and Ivan’s names are displayed, and they become available to the project manager to be assigned to the task.
When the project creator completes the task-role-user assignments, the project is forwarded along the workflow route, from one task to the next. When the project is forwarded, it moves to the desktop of the user assigned to the next task.
When all tasks in the project’s workflow are complete, the user assigned to the End task posts the project. When the project is posted, all modifications and changes to the objects in the project are updated in the database. If the data appears in more than one document, all the documents where it appears are updated with the changes.
The project creator may also establish triggers in the workflow so that when the project is forwarded from one task to the next, a pre-defined action automatically occurs. See Modifying Task Routes for information about adding triggers to a workflow.
