Workpools
A workpool is a team of users who work together on a project.
A workpool may be comprised of users in the same role or it may be comprised of users in a combination of roles. The composition of the workpool depends on your workflow and tasks.
- Create several writing tasks in sequential order in the workflow. There would be as many writing tasks as there are writers. All the writing tasks could be the generic (delivered) writing task, or you could create custom writing tasks. For example, the writer assigned to the
writing1task may be assigned to objects with no data that need an author, the writer in thewriting2task may be assigned to make revisions to old data, and so on. Each would receive the Project or ContentRoutingProject according to the workflow. The following is an example of such a workflow.
- Loop between two writing tasks until all the writers have been forwarded the Project or ContentRoutingProject. In this case, you would assign all writers to the writing tasks and ask the writers to forward the Project or ContentRoutingProject to a writer who has yet to work on it until all writers have received the Project or ContentRoutingProject. The following is an example of such a workflow.
- Create a workpool of writers then assign the workpool to a single writing task. In this configuration, all writers in the workpool receive the Project or objects in a ContentRoutingProject at the same time when it is forwarded to the writing task. The following is an example of such a workflow.
Workpools are created by the sysadmin and reside on the sysadmin’s desktop. A copy is automatically placed on the desktops of all users when they are assigned to the workpool. After workpools are created, they are available in the workflow and do not have to be on the projman’s desktop for him or her to assign them to Project or ContentRoutingProject tasks. However, the users in the workpool must have a copy of the workpool on their desktops—when a Project or ContentRoutingProject is forwarded to a workpool, it is sent to the workpool container.
If the projman is responsible for assigning users to the workpool, the sysadmin can place a linked copy of the workpool on the projman’s desktop. The projman has permission to add or remove users from a workpool.
