Step 2 How to Translate a Single File for a Regulated Industry

Open the single file and translate it.

Open the File and Specify Settings for Translation

Procedure

  1. Select File > Open > Translate Single Document from the Ribbon.
  2. In the Open Document dialog box, select the document to be translated and click Open.
  3. Your TM should be listed. If you have not selected a TM yet, click Add to select one.
  4. To make sure any changes you make to target segments are closely tracked, select Editor view > Review tab > Track Changes or press Ctrl+Alt+F9. The button is highlighted to indicate that track changes is on.

Translate the Document

Translate segments with tracked changes that have no matches from the TM and an empty target translation

Procedure
  1. Assume that the next segment the cursor stops at is a segment with an empty target segment. When no match is found it means:
    • The entire segment may be new so it is not in the TM.
    • No 100% match was found in the TM with tracked changes rejected.
    • No match was found when a second lookup was performed with the tracked changes accepted.
  2. Enter a translation in the target segment. Your changes are tracked and should mirror what is in the source.
  3. Press Ctrl+Enter to confirm the translation. The translation memory is updated with all the tracked changes accepted.

Use the Confirm command to translate and navigate the document

About this task

To indicate the translation is complete you must confirm it.

Procedure
Press Ctrl+Enter to confirm the translation.
  • The translation memory is updated with all the tracked changes accepted.
  • For segments that do not contain source tracked changes and have a 100% match or context match, the segments are automatically confirmed and the cursor moves to the next segment.
  • The cursor will stop when it reaches an unconfirmed segment so that you can edit it. These segments will have a fuzzy match, no match or a 100% match with tracked changes rejected.

Translate segments that have a match from the TM lookup with tracked changes rejected

Procedure

  1. Place your cursor in the first target segment. Assume for this example that the source segment contains tracked changes. A lookup is performed in the TM with the tracked changes rejected.
    • The target segment contains a 100% match from the TM where tracked changes were treated as if they were rejected. This icon is displayed in the segment status column:
    • A second lookup is performed with the tracked changes accepted and any matches are displayed In the Translation Results window. This translation can be used as a reference for making changes to the translation in the document. The window may display one of the following:
      • No TM match - There may be a match but it is below the fuzzy threshold.
      • Fuzzy match
      • Exact match (100%)
  2. Edit the target translation that was inserted into your document from the TM. For each tracked change in the source make an equivalent change in the target segment. This allows you to tightly control what changes are made. When making the edits your changes are tracked.
  3. Press Ctrl+Enter to confirm the translation. The translation memory is updated with all the tracked changes accepted.

Preview your changes by hiding tracked changes in Final Mode

To preview what the segments look like with the tracked changes accepted, you can switch on Final Mode. This allows you to double-check the spacing with the changes you have made with tracked changes.

Procedure
  1. Click Editor view > Review tab > Track Changes group > Final Mode. The button is highlighted to indicate when Final Mode is enabled.
  2. Make any corrections to the target translations. These changes are still tracked, however you will not see the tracked change in this mode.
  3. To turn Final Mode off, select this option again.
