Classifying content

The Classify action allows you to add Keyword associations to Keyword fields (Component fields or Metadata fields) in one or more Content Manager items such as Pages and Components.

Before you begin

To be able to use classify functionality, the items to classify must be: checked-in, local copies or local items (you cannot classify items that are shared), and the Keyword fields must be multivalued or, if they are single-valued, they must be optional and have no value currently specified.

Furthermore, you must have the following rights and permissions:

  • Item Management rights for the Content Manager item to be classified. For example, to classify Components you need Component Management rights.
  • Write permissions for the organizational item where the items to be classified reside. For example, to classify Components you need Write permissions on the Folder where the Components reside.
  • Read permissions on the Category where the Keywords used for classification reside. For example, to classify Components with Keywords you need Read permissions on the Category where Keywords reside.

About this task

You can classify items in the following locations in the Content Manager Explorer:

  • In the Building Blocks Navigation Pane or List View
  • In a Structure Group Navigation Pane or List View
  • In Categories and Keywords Classified Items List View
  • In Search Result List View

Procedure

  1. Open Content Manager Explorer.
  2. Select one or more Content Manager items, such as Folders, Components, Structure Groups or Pages.
  3. Open the Ribbon toolbar Organize tab and click Classify.
    The Keyword Picker window opens.
  4. In the Keyword Picker dialog, select one or more Keywords and click Select to add it to the list of available Keywords which are used to classify the selected item.
  5. Click the Classify button.

Results

Each Keyword field in an item selected for classification is evaluated individually. The Content Manager checks the Schema for allowed values for the Keyword field and then looks in the list of available Keywords for valid Keywords:
  • If the Keyword field is a single-valued field:
    • the action succeeds if there is exactly one valid Keyword in the available Keywords list
    • the action fails if there is more than one valid Keyword in the available Keywords list, or if the field is mandatory (and therefore already has a value)
    • the content is not classified if there are no valid Keywords in the available Keywords list
  • If the Keyword field is a multi-valued field:
    • the action succeeds if there is one or more valid Keywords in the available Keywords list
    • the content is not classified if there are no valid Keywords in the available Keywords list
  • When the action succeeds (one or more Keyword fields in an item are updated):
    • the Keyword or Keywords are added to the Component fields or Metadata fields of the selected items
    • a new version of the item is created
    • if the item is associated with a Workflow Process, the item goes into Workflow.
  • When the action fails (one or more Keyword fields in an item could not classified against the available Keywords) an error message is displayed providing details.

What to do next

After you have classified content, you need to republish the items to synchronize the changes with Content Delivery.
