Setting User and Group permissions for an organizational item

Permissions determine what actions users and groups can perform on the contents of a Folder, Structure Group or Category for those Content Manager items for which they have the necessary rights. In a BluePrint Parent Publication, permissions are shared to Child Publications.

Before you begin

To set permissions you need Permission Management rights for the Folder, Structure Group, or Category, and Write permissions for the containing organizational item. You can modify permissions for local items and local copies of organizational items (not for shared items).

About this task

For example, granting Write access to a Folder called Images enables users with Component Management rights to create or edit items within Images, but it does not enable the user to change the name of the Folder. To change the name of the Images Folder, the user needs Write permissions for the Images Parent Folder and Folder Management Rights within the Publication.

Procedure

  1. Access the Content Manager Explorer website.
  2. In the Publications navigation pane, select the Content Management node.
  3. In the list view, select an organizational item and in the Ribbon toolbar and click Properties. Organizational items on which you can set permissions are:

  4. Click the Security tab:
    1. On the left-hand side, select Users and Groups. Select the Show all check box to view Users as well as Groups.
    2. On the right-hand side, assign Permissions to the selected Users and Groups by selecting the Read, Write, Delete or Localize check boxes.
  5. To modify permissions:
    • Select a user or group listed in the Users and Groups pane.
    • Check or uncheck the permissions listed in the Permissions pane.
  6. To explicitly deny permissions:
    1. Select Show Exceptions.
    2. In the Exceptions window, select a user or group.
    3. Modify the permissions for the user or group to explicitly deny one or more permissions.
  7. Deselect the Inherit security settings from parent check box to create custom permission settings for Folders or Structure Groups. By default, nested Folders or Structure Groups inherit the settings of the Parent item when you set the permissions for a Folder or Structure Group.
    If the Publication is a Child Publication in a BluePrint, then Folder, Structure Group, and Category permissions are also shared from the Parent Publication.
  8. Click Save and Close.

Results

The Content Manager modifies the permissions for the organizational item. Users and groups can create, edit, view, localize, or delete items according to the permissions assigned to them or to the group to which they are a member.
