Shared items in workflow
You can put a shared item in workflow, but only if the item is not in workflow anywhere else. While it is in workflow, it cannot be localized, unlocalized or enter another Workflow Process anywhere in the Publication chain from its original Publication to any child Publication of the current Publication.
For example, given the Publication hierarchy above, assume that you have a Component that is shared from Publication A, and not localized anywhere. Now also assume that a user in Publication E causes this Component to enter workflow, either by triggering workflow through the API, or by putting a Bundle that contains the Component in workflow.
While the Component is going through the Workflow Process, the following restrictions apply:
- The shared item cannot be localized anywhere in the path that contains E. That is, it cannot be localized in A, C, E or F, but it can be localized in B or in D. Once localized, the localized item has none of the restrictions listed here anymore.
- The same applies for unlocalizing.
- The shared item cannot enter another Workflow Process anywhere in the hierarchy.
- The BluePrint hierarchy cannot be rearranged.
- The priorities of the Publication in the BluePrint hierarchy cannot be changed.
- Based on the Approval Status of the item in its current state in the Workflow Process, and based on the selected Publication Target(s), publishing the item from any Publication may cause the in-workflow version of the item to be published, rather than the last checked-in version.
