Non-checked-in items

After an item has been created, but before it has been checked in, we say that the item is non-checked-in item. For example, an item may immediately enter a workflow process when it is created. Such items are non-checked-in items until the workflow process is finished. Non-checked-in items do not appear in all places in the Content Manager Explorer where checked-in or checked-out items appear.

When you check an item in for the first time, the Content Manager gives that item a version number of 1.0. Only then is the item fully accessible for linking, publishing, viewing, and editing purposes. Until that, only the owner can view the content of the non-checked-in item (by opening or previewing the item). For other users (and for the owner), a non-checked-in item is visible in the following lists:

  • The Items List (the main Content Manager Explorer screen)
  • If the item is a Page or a Component, any item selection dialog
  • If the item is a Page or a Component, the Library panel in the slide-out navigation of the Experience Manager user interface
  • The Protocol Schemas
  • The Where used List
  • The Checked-Out Items List
  • The History List
  • The Started List (only for items in Workflow, and only for the owner)

Each time you save the item, a minor version number is applied, for example 0.1, 0.2, and so on. The owner of an non-checked-in item can perform all the usual actions on the item except cut/paste/copy and publish. Note also that you cannot publish newly created items in workflow from Building Blocks until they are checked-in.

Other users can only view the non-checked-in items in the lists described above.

A non-checked-in item has a translucent icon. For example, the following image shows three Components; a Component that has been checked in, a Component that has been checked out, and a non-checked-in Component:
