A Typical Sequence for a Quote Life Cycle

Typically a quote-approval process will follow one workflow, which can be set for the Client in Management > User Setup > Clients.

Workflow Based. A typical sequence for a quote life cycle based on the sample Advanced Quote Approval Process Workflow is:
  • A client user requests a quote in TransPort and submits the files that need to be translated. The quote starts with a status of Requested. Note that WorldServer creates a project based on the quote name.
  • On the WorldServer side, the Client Manager receives an email notification to respond to the Provide Quote Document task and:
    • Selects the task link displayed the email.
    • Selects the task from the Task List page for the project and clicks Edit.
    • Scopes the files, adds a quote document, and clicks Save in the Edit Quote page.
    • Clicks Complete in the Task List for Project page.
    • Selects the next step in the workflow, enters an optional comment, and clicks OK in the Complete Tasks dialog box.

    The workflow updates the status and proceeds to the next step.

  • On the TransPort side, the client user clicks on the Requires Attention task from the Home page, which opens the quote in the Edit Quote page. The client user with the appropriate permissions can:
    • Update the quote details.
    • Select to open the Open Response Items for Project page, choose the next step in the workflow, and click Submit Response.
Manual. A typical sequence for a quote life cycle based on a manual quote-approval process is:
  • A client user requests a quote in TransPort and submits the files that need to be translated. The quote starts with a status of Requested.
  • On the WorldServer side, a Client Manager opens this request from Assignments > Quotes, scopes the files, adds a quote document, and changes the status to Pending Approval.
  • On the TransPort side, the client user can click to approve the quote from the Home page or open the quote listed in the Quotes page. After scrutinizing the quote document in the Edit Quote page, the client user with the appropriate permissions can select:
    • Save and Request Update to modify the quote. This option resets the status back to Requested. The quote goes back to the Client Manager for adjustment.
    • Approved to approve the quote.
    • Abandoned to place the project on hold or abandon the project entirely.

After the quote is approved, client users with the appropriate permissions can use the Create New Project link to create a translation project based on the quote. If the client user does not have create-project permissions, the Client Manager can create the quote-based project in WorldServer.
