Creating a Quote for a Client

Typically, a Client Manager responds to requests for quotes that were created by Client users in TransPort. Occasionally, a Client Manager may create a quote on behalf of a Client. For example, a Client may email or phone the Client Manager to request a quote for a translation project. In this situation, the Client Manager can log into WorldServer and create a quote for that user. The benefits of creating quotes on behalf of a Client in WorldServer are:

  • Immediate availability of requested quotes to Clients through TransPort.
  • Quote requests initiated by email or phone can be managed through WorldServer and TransPort directly.
To create a quote on behalf of a Client, specify the following:
  • Name. The name you assign displays in the Quotes List. (Required)
  • Description. An optional description displays in the Quotes List.
  • Client. A list of Clients to which the current user belongs. Select a Client on whose behalf you are creating a quote. (Required)
  • Requested By. A list of client users for the selected Client. To select a client user on whose behalf you are creating this quote, select the Manual quote-approval process in the Approval Process section. Note that the system treats this user as the person who requested the quote.
  • Project Type. A Project Type associated with the Client on whose behalf you are creating the quote. When you create a new project based on this quote, the Project Type can automatically:
    • Create a set of AIS locale folders with linkages.
    • Apply a set of AIS properties and default workflows.
    • Set a Source Locale.
  • Approval Process. For more information, see the Quotes topic.
    To set up a Workflow Based quote-approval process:
    1. Select a Workflow from the available quote-based workflows. (Required)
    2. Select a Workgroup. (Required)

    When you create a new workflow-based quote, WorldServer automatically creates a corresponding project using the name formula: Quote <Quote Name>.

  • Status. If you select the Manual quote-approval process, you can choose an initial status of Requested, Pending Approval, Approved, or Abandoned. For more information, see the Quotes topic.
  • Quote Document(s). Based on the scoped assets for this translation project, create one or more documents that estimate the translation costs. For more information, see the Quotes topic.
  • Custom Attributes. Any previously defined custom attributes, such as a priority selector or purchase order number, display on the page.
  • Project Due Date and Time. Specify a date and time when the project should be completed so the responsible parties can be notified as the date and time approaches or is passed.
  • Source Locale. The locale from which you are translating. (Required)
  • Target Locales. The locales into which you are translating. (Required)
  • Asset(s). Locate and add the assets that will be translated. (Required)
  • Get Scoping and Estimates. Select this option if you want to determine how many words are in a particular project, and how much translation will cost, based on a selected cost model.

After saving the quote, you can enter questions, comments, or requests in the Enter note for Quote <Quote name> change log dialog box. This note appears in the Change Log section located at the bottom of the Quote page, and is a way of communicating with the next person handling the quote.
