Requesting a quote

Requesting a quote encompasses three major steps:
  • Specifying general quote information
  • Choosing due dates and locales
  • Choosing and uploading files to be analyzed
If an administrator sets one or more custom quote attributes, such as a P.O. number, there is an additional step for adding information related to that custom attribute. This additional step occurs between general quote information and adding due dates and locales.

Specifying general quote information

Procedure

To specify general quote information

  1. Enter a name for the quote in the Quote Name field. The name you assign appears in the Quotes List, which you can use to locate the quote later. (Required) For example, enter ABC Company Web Translation.
  2. Enter an optional description of the quote in the Description field. The description also appears in the Quotes List. For example, enter Translation of the ABC Company Web Site.
  3. Select a client name from the Client list.
    Initially the field is blank so you can select the client you want to use. If there is only one client available for selection, TransPort automatically fills in the client name for you.
  4. Choose a project type in the Project Type list. (Optional) You can either select a Project Type or leave it blank. However, a Project Type is required for the Analyze Files feature.

Specifying additional quote information

Procedure

To specify additional quote information

  • If an administrator defines a custom project attribute, such as a P.O. number, you will need to specify this information for the quote. Depending on the type of attributes created and values selected, you may need to enter text, choose values from drop down menus, or perform other tasks.
  • You must complete any required values designated with a red asterisk (*) before moving onto the next step.

Choosing due dates and locales

Procedure

To choose due dates and locales

  1. Decide whether to specify one due date for the whole project, or individual due dates based on each translation locale:
    1. For the whole project: enter one date in the format associated with your regional settings in the Project Due Date field or click calendar.
    2. For each translation locale, click Set due date per locale to specify a due date for each translation locale.
    Note that a Project Due Date is not required. However, an administrator can set this field as required for a Project Type.
  2. Choose the source locale of the assets to be translated from the Translate From list. (Required)
    The source locale is automatically set if you selected a Project Type previously.
  3. Choose target locales to which to translate assets associated with the quotes in the Translate To area. (Required)
    1. Choose a locale from the list of languages in the left column.
      TransPort displays all the locales in the system except for the locale selected as source locale.
    2. Click the right arrow to move the locale to the right column.
      Repeat steps a and b to add more locales, or select more than one locale at a time by pressing Shift or CTRL while selecting locales.
      You can deselect locales by selecting them in the right column and clicking the left arrow.
    3. If you select Set due date per locale, enter a due date for each locale under Selected Locales.

Adding files to a quote

Before you begin

To add one or more files from your computer or a WorldServer location:

Procedure

  1. Verify that the Expand zipped files option is selected if you want to expand a zipped file.
  2. Select a file location from:
    • Your computer
    • A WorldServer location
  3. Select one of the following options for location the documents you want to include in the quote or project:
    • From my computer. Click Browse to add files from your computer.
    • From WorldServer. Click the folder icon to add files from a WorldServer location.
  4. Select a file to upload.
  5. Click add another to add more files and repeat steps 3 and 4. The system stores the files in a temporary location.
  6. When finished, click Copy Files Now to copy the files to a project or quote folder on the system.
    The uploaded files are displayed on the right side of the panel. The system shows the relative path and filename for expanded files that had a directory structure in the zipped file.

Analyzing files

Before you begin

Click Analyze Files to perform a preliminary analysis of the files associated with a project or quote.

Deleting Files

Procedure

  1. To delete a single file, click the delete link.
  2. To delete all files, click the delete all link.
