User Type Tools Tab Permissions

Features including Translation Memory and Terminology Database use and modification, personal preferences, and reporting are available from the Tools tab.

Term Databases

The Term Databases option gives access to Tools > Term Databases, in which, if you have the specific permissions, you can view a terminology database, add a terminology database entry or term, edit a terminology database entry or term, delete a terminology database entry or term, view a terminology database entry history or term history, or import or export a terminology database.

With the WorldServer security features for terminology database management, you have the following capability:

  • You can restrict translators' write permission to terms in their own languages while allowing them to view terms in other languages.
  • You can set up users with limited modify permission: they can edit individual terms, but they can't execute wide-ranging operations like purging the term database.
  • You can define term entry or term attributes that are specific to one or more term databases. Someone editing a term or term entry will see only attributes that are relevant to that term database.
  • You can limit access of a term database to specific users or groups. Read and modify permissions can mix: someone might have modify permissions for one term database but only browse permission on another and absolutely no access to a third term database.

This capability is achieved through a combination of:

  • User Type permissions
  • Attribute masking (specified per TD)
  • Access Controls (specified per TD)

Term Databases

Can browse TD

This permission allows you to browse a terminology database. This is useful for translators, reviewers, and project managers.

Can view terms outside user's locales

With this permission, you can configure users who will be able to see terms in all languages. However, you control their ability to modify terms outside their own locales with Can modify terms outside user's locales.

Can modify TD

This permission allows you to modify terms. This is useful for terminologists (your TD expert).

Can modify term statuses

This permission, in combination with the ACL write permissions specified for a TD, allows you to modify term statuses.

Can modify terms outside user's locales

With this permission, you can configure users who will be able to see terms in all languages, but modify only terms in languages for which they have permission. If you do not have modify permission for a language, the usual modification operations (edit, delete, change status) will not be available for terms that you are viewing in that language, and you will not be able to create new terms in that language. This option is not selectable unless Can view terms outside user's locales is also selected.

Can delete terms

This permission controls whether a user can delete terms. If you have this permission, you can delete individual terms.

Can delete results set

This permission controls the availability of the Delete Result Set button when you have performed a search in Tools > Term Databases > Term Database: <TD>.

Can purge TD

This permission controls the availability of the Purge TD Data button in Tools > Term Databases > Term Database: <TD>

Can delete term entries

This permission controls whether a user can delete term entries, including all terms in that term entry. This permission is only there for informative purposes and cannot be changed directly. It will be checked if Can modify terms outside user's locales and Can delete terms are selected, and deselected otherwise, to indicate presence of this permission. The label has a tooltip that says Select "Can modify terms outside user's locales" and "Can delete terms" to enable.

Can import terms

This permission controls the availability of the Import TD button in Tools > Term Databases > Term Database: <TD>.

Can export from TD

This permission controls the availability of the Export TD and Export Result Set buttons in Tools > Term Databases > Term Database: <TD>.

Can add or modify public TD attributes filters

This permission controls the availability of the attribute filter editor in Tools > Term Databases > Term Database: <TD>.

Can submit proposals

This permission controls whether a user can submit proposals. It can be given to users who do not have TD write privilege.

Translation Memories

The Translation Memories option gives access to Tools > Translation Memories, in which, if you have the specific permissions, you can perform the following:

  • Purge Translation Memory
  • Export TMX entries
  • Import TMX entries
  • Search and use the result set to perform exports of all returned entries and to delete entries
  • Search and replace
Translation memory in WorldServer has the following security features:
  • You can restrict users’ write permissions to updating or adding TM entries during the translation process, but disallow them to edit TM entries directly.
  • You can set up users with limited modify permission: they can edit individual TM entries, but they can't execute wide-ranging, bulk operations like purging the TM database.
  • You can define TM entry attributes that are specific to one or more TM databases. Someone editing a TM entry will see only attributes that are relevant to that TM database.
  • You can limit access of a TM database to specific users or groups. Read and modify permissions can mix: someone might have modify permissions for one TM database but only read permission on another and absolutely no access to a third TM database. For example, you can allow a user to only browse or leverage against a TM, while that same user may have full modify permissions in another TM. You can assign permissions to a user group, thus allowing the users associated with that group to gain permissions or have their permissions restricted based on that user group. If the user is assigned explicitly to an object, then user groups can be used to add additional permissions, but not to restrict, since the users rights are not provided solely by the user group.

Translation Memories

Can browse TM

This permission allows you to browse a translation memory from Tools > Translation Memories: <TM>. This is useful for translators and project managers. A translator can also view translation memory entries from the translation workbenches.

Can modify TM during upload

This permission allows you to modify translation memory entries only during the upload of a translation kit to WorldServer. If this option is set, when you upload the translation kit, you are presented with the additional option: Update the WorldServer Translation Memory? If you choose to do so, the kit import will update the TM. If you allow full access, users can modify, delete, and see other TM entries. If you switch all the other TM permissions off and only leave this one enabled, you limit users to uploading their own work for their own assets that they are assigned to work on.

Can modify TM

This permission allows you to modify translation memory entries from Tools > Translation Memories: <TM>. Grant this permission to your linguist (translation memory expert). To protect your TMs from corruption, you might give this to Reviewers (and make your linguist a Reviewer), but not to Translators.

Can import entries into TM

This permission controls the availability of the Import TM from TMX File button in Tools > Translation Memories > Translation Memory: <TM>.

This permission controls the availability of the Delete Selected button in Tools > Translation Memories > Translation Memory: <TM> that appears when you have searched and have a result set.

This permission controls the availability of the Purge TM Data button in Tools > Translation Memories > Translation Memory: <TM>.

Can delete result set

This permission controls the availability of the Delete Result Set button in Tools > Translation Memories > Translation Memory: <TM> that appears when you have searched and have a result set. When you enable this button, the Delete Selected button is also enabled.

Can change status of TM entries

TM entries have statuses when you are in Live TM mode. This permission governs a user's ability to change status for a TM entry.

This permission controls the availability of the Export TM as TMX File, Export Selected, and Export Result Set buttons in Tools > Translation Memories > Translation Memory: <TM> that appear when you have searched and have a result set.

Can add or modify public TM attributes filters

With this permission, you can choose to "Make this filter public" when you add or modify an attribute filter using the Attribute Filter Editor.

Personal Preferences

Gives access to Tools > Personal Preferences, in which you can set various preferences. If you do not give a user access to preferences, that user must use the defaults and cannot even change their own password.

Report Center

Gives access to Tools > Report Center, in which you can view and create reports on WorldServer activity.

Machine Translations

Gives access to the Tools > Machine Translations page, in which you can use configured machine translation adapters for translation. This does not give you the ability to configure the MT adapters. For that you need the MT Configurations permission in the Linguistic Tool Setup group of the Management tab.
