TransPort Setup Worksheet

Use this worksheet to help gather configuration information for setting up TransPort through WorldServer.
The major tasks for setting up TransPort are:

Setting Up Locales

You can set up locales for the creation and management of translation projects and quotes in WorldServer and TransPort.

To set up locales, go to Management > Business Rule Linkage > Locales > Locale: New Locale. Associate the users by moving them from the Available users to the Users in locale field for each locale.

Creating a Top-level Directory for Clients

To successfully create Clients you need to set up a top-level directory first. To do this:
  1. Use Windows Explorer to set up a new file system directory or add a new directory to an existing directory on your system (outside of WorldServer).

    Note that directory names are case-sensitive.

  2. Inside WorldServer, add a mount to this newly created directory for Clients.
  3. To add a new AIS mount or directory in an existing mount, go to Management > Asset Interface System > AIS Mounts > Mount: New.

The following example shows the top-level AIS directory mount called "clients."

Setting Up TransPort User Types

You can create several TransPort User Types (roles) that include a range of basic to advanced permissions. For example, create:
  • A basic TransPort User Type with limited TransPort permissions for client users. The out-of-the-box TransPort User Type is a role defined by a limited set of TransPort permissions. (Default)
  • An advanced TransPort user type with all TransPort permissions enabled for project managers.
  • A Client Manager User Type with all TransPort permissions enabled as well as project manager and quote-related permissions in WorldServer. A Client Manager manages Client quotes, requests, and projects through WorldServer.
For example, you may want to create different user types for each quote-approval process for specified Clients associated with this User Type:
  • Automated. Deselect the following User Type permissions to prevent users from updating quotes manually:
    • Under WorldServer Assignments > Quotes section: Can override client settings for quote approval
    • Under TransPort > Can view quotes section: Can approve quotes manually
  • Manual. Select the following User Type permissions to allow users to update quotes manually:
    • Under WorldServer Assignments > Quotes section: Can override client settings for quote approval
    • Under TransPort > Can view quotes section: Can approve quotes manually

Setting Up TransPort users

Since there are no predefined TransPort users, you need to create users that include administrators, client managers, and client users. When creating TransPort users, WorldServer creates users with permissions defined by a User Type. Keep in mind that TransPort users must be members of User Types that have permissions to use TransPort.

To create TransPort users, go to Management > User Setup > Users > User: New User.

Configuring TransPort Users

You must associate TransPort users with a Client to enable the users to log into TransPort and create projects and quotes. After you create clients (described later in this document), you can easily associate the each TransPort users to one or more Clients, where applicable. To associate users with specific Clients, go to Management > User Setup > Users and select the user. In the <user> page, select the appropriate Clients.

Configuring Workgroups

You can create a new workgroup especially for TransPort or use an existing workgroup in the system, such as the Default. If you have multiple workgroups in the system, make sure that all the TransPort users belong to those workgroups that will use TransPort. To create workgroups, go to Management > User Setup > Workgroups > Workgroup: New Workgroup.

Creating Workflows

TransPort uses workflows for creating and managing translation projects and quotes. Since there is no out-of-the-box (default) workflow, you need to create workflows for each source locale. Even if there are existing workflows in the system, you may want to create special workflows for TransPort projects and quotes.

TransPort uses two types of workflows:
  • Asset Based (Default) Use this type for most workflows.
  • Quote Based Use this type to create workflows for an automated quote-approval process.

To create workflows, go to Management > Workflow > Workflows > Add. Use the Workflow Editor to create or modify workflows and assign human steps to each workflow role. After a project is created, WorldServer assigns tasks to workflow roles specified in the workflow steps and notifies TransPort users that they have assigned tasks, as described in the next section.

Creating Workflow Roles

TransPort and WorldServer use workflow roles for assigning and monitoring task progress. Assign one or more workflow roles to each TransPort user. To add Workflow Roles, go to Management > Workflow > Workflow Roles > Add.

Configuring Custom Attributes

To maximize consistency and project management within the system, you can share custom attributes across several object types, such as Project and Quote. For example, if a project is created from an approved quote, TransPort can prepopulate custom attribute data entered for the quote into the project, such as a P.O. number or Style Guide. To add a custom attribute for TransPort use, go to Management > Administration > Customization > Attributes > Add.

Creating Cost Models

To create cost models that you can associate later with Project Types, go to Management > Linguistic Tool Setup > Cost Model Setup > Cost Models > Cost Model: New.

Setting Up Project Types

In order to configure WorldServer for TransPort use, you need to create Project Types that are used for project creation. Certain settings selected for each Project Types are automatically filled in when TransPort users create a project or quote.

To set up a Project Type, go to Management > Business Rule Linkage > Project Types > Project Type: New.
  1. In the General tab, enter the following information:
    • Name. The project name displays in TransPort and WorldServer (if this available column is selected in the Project List page). TransPort users must be able to select the correct Project Types from a list when creating a project. Try to use obvious and descriptive names, for example, include the source locale.
    • Description. Add an optional description that displays in TransPort and WorldServer (if this available column is selected in the Project List page).
    • Source Locale. Remember you can only select one source locale per Project Type.
    • Due Date. Specify that a due date be required. The default is that a due date is not required.
    • Project Attributes. If any custom attributes were created, they will display here and you can select which ones you want to include in the Project Type.
    • AIS Properties. If any custom AIS properties were created, they will display here and you can select which ones you want to include in the Project Type.
  2. In the Processing tab, enter the following information:
    • Workgroup. Select a workgroup that you want to associate with this Project Type. For example, select the Default workgroup.
    • Workflow. Select the workflow that you want to associate with this Project Type. You may want to use a previously defined workflow for TransPort projects and quotes.
    • File Types. Select a file type. For example, select a file type for target locales that require an HTML format.
    • Cost Models. Select a cost model. For example, select a cost model for a particular translation vendor (if you have multiple translation vendors with different pricing).
  3. In the Linguistic Tools tab, enter the following information:
    • Under Translation Memory (TM), select one of the following types:
      • Use client-specific TM. Clients may want to use their TMs to leverage their translation projects. In this case, define the TM for the Client and then select this option.
      • Choose default TM for all locales. Clients may not have a TM to leverage. In this case, an administrator can use a global or locale-specific TM. Note that when this option is selected, the administrator can make a selection from a list of all the existing TMs.
    • Under Terminology Database (TD), select one of the following types:
      • Use client-specific TD. Clients may want to use their TDs to leverage their translation projects. In this case, define the TD for the Client and then select this option.
      • Choose default TD for all locales. Clients may not have a TD to leverage. In this case, an administrator can use a global or locale-specific TD. Note that when this option is selected, the administrator can make a selection from a list of all the existing TDs.
    • Under Machine Translation Configuration (MT), you can add adapters for third-party machine translation engines to supplement the translation memory leveraging process.

      Use the Advanced options to override this default MT configuration for individual locales.

    • Under Quality Models, you can categorize translation error types and severities to create quantifiable measures and statistics based on the quality of a translation.

      You can select a Quality Model, which will be applied to all locales.

Creating Clients

To meet your organization's current requirements and future needs, consider the following options for creating clients for TransPort:
  • Internal Clients. If you handle localization projects within your organization, set up an Internal Client. You can organize localization projects by:
    • Product. For example, create a client called Web Interface. WorldServer creates a Web Interface folder for storing all localization projects for this product.
    • Department. For example, create a client called Marketing. WorldServer creates a Marketing folder for storing all localization projects for this department.
  • External Clients. If you handle localization projects for multiple companies, set up an External Client for each company (or a division in large company). For example, create a client called ABC Company. WorldServer creates an ABC Company folder for storing all its projects.
To create clients with associated Project Types and TransPort users, go to Management > User Setup > Clients > Client: New.
  1. In the General tab, enter the following information:
    • Name.
    • Description.
    • Client folder. This folder contains all the folders created for this Client.
    • Quote Approval Process. Choose one:
      • Manual. Select this option to make the quote requester responsible for the quote-approval process. For example, use this workflow to let TransPort users control the quote-request status (Abandon quote, Approve quote, or Request updates to quote based on changes).
      • Workflow Based. Select this option to automate the quote-approval process based on a selected workflow for the client. For example, use this workflow to notify a client manager that a quote request was created or a TransPort user that a quote was generated. To automate the quote-approval process:
        1. Select a Workflow from the available quote-based workflows. (Required)
        2. Select a Workgroup. (Required)

          If you select Workflow Based and do not select a workflow and workgroup, an error message appears when you click Save.

    • Project Types. If there are multiple project types for a Client, you select can one or more project types from the Available Project Types list.

      You can add new project types by clicking Create New, which invokes the Project Type definition page.

  2. In the TDs & TMs tab, enter the following information:
    • Translation Memory. Choose a translation memory to use for this client. Select one of the following types:
      • No client-specific TM. Applies the TM defined in the Project Type.
      • Create a blank default TM and use it for all locales. Creates a new TM for the Client. WorldServer creates a TM when the Client is saved.
      • Choose a default TM for all locales. Note that when this option is selected, the administrator can make a selection from a list of all the existing TMs.

        For the second and third choices, you may choose to override the TM selection for some source-target locale pairs. You can select Advanced options to choose a TM or TD for a particular source and target locale.

    • Translation Database. Choose a terminology database to use for this Client. Select one of the following types:
      • No client-specific TD. Applies the TD defined in the Project Type.
      • Create a blank default TD and use it for all locales. Creates a new TD for the Client. WorldServer creates a TD when the Client is saved.
      • Choose a default TD for all locales. Note that when this option is selected, the administrator can make a selection from a list of all the existing TDs.

  3. In the Users & Contacts tab, select the users who belong to this Client. These users will be able to create projects and quotes in TransPort. Note that TransPort users comprise (Client Users) and Client Managers (typically an LSP manager). The typical operations for these users are:
    • Client User. A Client User works at the company that needs content translated. Depending on permissions, this user may upload files, and create, track and manage projects and quotes in TransPort.
    • Client Manager. A Client Manager develops quotes and sends them to the Client users who request quotes. The Client Manager can also create projects. This manager typically manages the translators and reviewers who work in WorldServer rather than in TransPort.

Make sure to select a Project Type so TransPort users will be able to create projects.
