Resource setup by administrators

Your role (and your permissions) control the degree to which you can manage (view, add, edit, delete) the resources you have access to. The higher you are positioned in the hierarchy, the more resources you can manage.

This topic explores the impact of hierarchy over the resources and projects the following users have access to:
  • As administrator in the Root folder (user included in the Administrator group in the Root folder)
  • As lead project manager in the Customers folder (user included in the Lead Project Manager group in the Customers folder)
  • As lead project manager in a specific customer folder (user included in the Lead Project Manager group in a customer folder) -
  • As project manager in the Root folder (user included in the Project Manager group in the Root folder)
  • As project manager in a specific customer folder (user included in the Project Manager group in a customer folder)

Creating resources and projects (all folders are public)

  • I am an administrator:
    • I can create resources and projects in any location I want (Root folder, Customers folder, customer specific folders).
    • I can add customers and customer users in any location I want.
    • I can add vendors (and vendor users) and create vendor order templates in the Vendors folder (or the vendor specific folders).
  • I am a lead project manager located in the Customers folder:
    • I can create resources and projects only in the Customers folder (where I am located) and its children.
    • I can add customer folders under the Customers folder, which mean I can add as many children as I want to the Customers folder.
    • I can add users and groups in the Customers folder and its children.
    • I can add vendors (and vendor users) and create vendor order templates in the Vendors folder (or the vendor specific folders).
  • I am a lead project manager located in a customer folder:
    • I can create resources and projects only in the customer folder (where I am located) and in my customer folder's children.
    • I can add customer folders under my customer folder, which mean I can add as many children as I want to my customer folder.
    • I can add users and groups in my customer folder and its children.
    • I can add vendors (and vendor users) and create vendor order templates in the Vendors folder (or the vendor specific folders).
  • I am a project manager located in the Root folder:
    • I can create resources (the ones I have permissions for) in any location I want (Root folder, Customers folder, customer specific folders).
    • I can create projects in any location I want (Root folder, Customers folder, customer specific folders).
  • I am a project manager located in a customer folder:
    • I can create resources (the ones I have permission for) only in the customer folder where I am located (my folder) and in my customer folder's children (my descendants).
    • I can create projects only in the customer folder where I am located (my folder) and in my customer folder's children (my descendants).

Creating vendor order templates

  • I am an administrator. I can create vendor order templates in the Vendors folder (or the vendor specific folders). As administrator, I must not store vendor order templates in the Root folder because vendors cannot see or access any resource stored in the Root folder.
  • I am a lead project manager located in the Customers folder. I can create vendor order templates in the Vendors folder (or the vendor specific folders).
  • I am a lead project manager located in a customer folder. I can create vendor order templates in the Vendors folder (or the vendor specific folders).
  • I am a project manager located in the Root folder. I cannot create vendor order templates. Ensure your administrator or lead project manager created the required vendor order templates.
  • I am a project manager located in a customer folder. I cannot create vendor order templates. Ensure your administrator or lead project manager created the required vendor order templates.

Editing and deleting resources and projects

  • I am an administrator:
    • I can edit/delete the resources from any location I want (Root folder, Customers folder, customer specific folders).
    • I can edit/delete the projects from any location I want (Root folder, Customers folder, customer specific folders).
    • I can edit/delete the vendors (and vendor users) and the vendor order templates from the Vendors folder (or the vendor specific folders).
  • I am a lead project manager located in the Customers folder:
    • I can edit/delete the resources only from the Customers folder where I am located (my customer folder) and its children (my descendants).
    • I can edit/delete the projects only from the Customers folder where I am located (my customer folder) and its children (my descendants).
    • I can edit/delete the vendors (and vendor users) and the vendor order template from the Vendors folder (or the vendor specific folders).
  • I am a lead project manager located in a customer folder:
    • I can edit/delete the resources only from the customer folder where I am located (my customer folder) and its children (my descendants).
    • I can edit/delete the projects only from the customer folder where I am located (my customer folder) and its children (my descendants).
    • I can edit/delete the vendors (and vendor users) and the vendor order template from the Vendors folder (or the vendor specific folders).
  • I am a project manager located in the Root folder:
    • I can edit/delete the resources (the ones I have permissions for) from any location I want (Root folder, Customers folder, customer specific folders).
    • I can edit/delete the projects from any location I want (Root folder, Customers folder, customer specific folders).
  • I am a project manager located in a customer folder:
    • I can edit the resources (the ones I have permission for) only from the customer folder where I am located (my folder) and from my customer folder's children (my descendants).
    • I can edit the projects only from the customer folder where I am located (my folder) and from my customer folder's children (my descendants).

Copying resources

  • I am an administrator:
    • I can copy the resources (translation engines, workflows, file type configurations, pricing models, project templates) from any location I want (Root folder, Customers folder, customer specific folders).
    • I can save these resources to a location of my choice.
  • I am a lead project manager located in the Customers folder:
    • I can copy the resources (translation engines, workflows, file type configurations, pricing models, project templates) from the Customers folder and its child folders (my descendants).
    • I can save the resources in the Customers folder and its child folders.
  • I am a lead project manager located in a customer folder:
    • I can copy the resources (translation engines, workflows, file type configurations, pricing models, project templates) from my customer folder and its child folders (my descendants).
    • I can save the resources in my customer folder and its child folders.
  • I am a project manager located in the Root folder:
    • I can copy the resources (translation engines, workflows, file type configurations, project templates) from any location I want (Root folder, Customers folder, customer specific folders).
    • I can save the resources to a location of my choice.
  • I am a project manager located in a customer folder:
    • I can copy the resources (translation engines, workflows, file type configurations, project templates) from my customer folder and its child folders (my descendants).
    • I can save the resources in my customer folder and its child folders.

Using resources to create other project resources and projects

By and large, you can use resources from the folder where the new resource or project is created, or from parent folders (folders higher up in the hierarchy):
  • I am an administrator:
    • I can use the resources from the Root folder to create other resources (e.g. project templates) or projects in the Root folder.
    • I can use the resources from a customer folder and the resources the folder inherits from above to create other resources or projects in that customer folder.
    • I can use the vendor order templates from the Vendors folder to assign users to tasks.
  • I am a lead project manager located in the Customers folder:
    • I can use the resources from the Customers folder (my folder), the ones I inherit from the Root folder or parent folder, but not the ones from my customer folder's children to create other resources or projects in the Customers folder.
    • I can use the resources from the Customers child folders and the ones inherits from above to create other resources or projects in my child folders.
    • I can use the vendor order templates from the Vendors folder to assign users to tasks if I am a member of the Vendor Project Manager group.
  • I am a lead project manager located in a customer folder:
    • I can use the resources from the customer folder where I am located (my folder), the ones I inherit from the Root folder or the Customers folder, but not the ones from my customer's child folders to create other resources or projects in that customer folder.
    • I can use the resources from my customer folder's children and the ones the children inherits from above to create other resources or projects in my customer folder's children.
    • I can use the vendor order templates from the Vendors folder to assign users to tasks if I am a member of the Vendor Project Manager group.
  • I am a project manager located in the Root folder:
    • I can use the resources from the Root folder to create other resources (e.g. project templates) or projects in the Root folder.
    • I can use the resources from a customer folder and the resources the folder inherits from above to create other resources or projects in that customer folder.
    • I can use the vendor order templates from the Vendors folder to assign users to tasks if I am a member of the Vendor Project Manager group.
  • I am a project manager located in a customer folder:
    • I can use the resources from the customer folder where I am located (my folder), the ones I inherit from the Root folder or Customers folder, but not the ones from my customer folder's children to create other resources or projects in my customer folder.
    • I can use the resources from my customer folder's children and the ones the children inherit from above to create other resources or projects in my customer folder's children.
    • I can use the vendor order templates from the Vendors folder to assign users to tasks if I am a member of the Vendor Project Manager group.

Viewing and editing projects

  • I am an administrator. I can see and edit the projects from any location I want (Root folder, Customers folder, customer specific folders).
  • I am a lead project manager located in the Customers folder. I can see and edit the projects only from the Customers folder (my folder) and its child folders (my descendants).
  • I am a lead project manager located in a customer folder. I can see and edit the projects only from the customer folder where I am located (my customer folder) and its child folders (my descendants).
  • I am a project manager located in the Root folder. I can see and edit the projects from any location I want (Root folder, Customers folder, customer specific folders).
