Adding entry templates
Use entry templates to make sure that all the entries in a particular termbase have the same format. Entry templates accelerate the entry creation process and make it easier to maintain the termbase over the long run.
Procedure
- Log in to Trados Studio (by accessing this link: http://languagecloud.sdl.com/lc).
- Go to the Resources view and select Linguistic Resources > Entry Templates OR select the Terminology view from the main menu, and then select Entry Templates.
- Select New Entry Template.
- On the New Entry Template page, do the following:
- Enter the name of your entry template.
- (Optional) Enter a description.
- Select the appropriate termbase.
- Expand the Structure panel to view the structure of the selected termbase and take note of the properties of each field that you want to add to your entry template. For example, which fields are mandatory, which fields accept multiple values, and what type of data is required in each field (Text, Number, Picklist, etc.).
- Create a standardized structure for your entries by adding entry-level, language-level, and term-level fields.
Note: You can only add fields that are included in the structure of the selected termbase. Moreover, the field properties defined in the termbase structure will carry over to the entry template. For example, if a field is marked as Mandatory in the termbase structure, it will also be Mandatory in the entry template. Similarly, if a field is defined as single-value in the termbase structure, it will also have a single value in the entry template.
- Select the properties that apply to each field:
- Multiple – Select this option to allow users to add multiple values to the field.
- Mandatory – Select this option to make the field mandatory.
- Read Only – Select this option to prevent users from modifying the default value of the field.
Note: Here are a few tips regarding field properties:- When you mark a field as Multiple, the Read Only option becomes unavailable and vice versa. This is to make sure that duplicate fields are not created unnecessarily.
- You can save your entry template without necessarily entering values for fields marked as Mandatory. However, you must enter a value for each field marked as Read Only to save the template.
- When you create entries based on an entry template, you cannot delete fields marked as Mandatory in the entry template.
- When you create entries based on an entry template, you can cannot edit fields marked as Read Only in the entry template, but you can delete them.
- Add other languages from the termbase and configure their corresponding fields.
- When finished, select Save.
