Checking files to Trados GroupShare

Trados GroupShare facilitates collaboration among translators and reviewers by storing shared projects and resources on an online platform. To work on their assignments, users must check out the files, translate or review the files, and then check them back in.

File check out

When you check out files from the Trados GroupShare Project Server, you make them available for translation or review in Trados Studio.

You can:
Check out files automatically
When you open a file, which is part of a Trados GroupShare project, for translation, review or sign-off, you will be prompted to check out that file prior to changing it. If you perform any batch tasks or create a package, the files are automatically checked out for you.
Check out files manually
When you plan on working offline and do not want to edit the files at the time of check out or if you want to take ownership of the files and edit them at a later point, you perform manual check out.

File check in

When you check in files to the Trados GroupShare Project Server, you can:
Upload new versions of edited files and change their current translation phase
When you open a file for translation or review, you are prompted to check it out from the Project Server. When you run a batch task or create a package for a file, the file is checked out to you automatically. On finishing your work, you need to update the files on the Project Server with your locally modified files by checking them in. This also automatically unlocks the file so other team members can edit it. When checking in the file, you can also choose to update the current translation stage for the file by changing its phase.
Add new files to the Trados GroupShare project
If you add a new file to a Trados GroupShare project, checking in the file uploads it to the Project Server so other users can work with the file. The steps to add a new file are identical to adding a file to a local project but with one extra step of checking in the files to upload them to Trados GroupShare.
