Opening cloud projects from Trados Studio

To start working on existing cloud projects, first download the projects from your cloud account to make them available in Trados Studio.

Before you begin

Before opening cloud projects, make sure that:
  • You have a cloud account with a role that enables you to access and work with cloud projects and resources.
  • You are familiar with cloud projects and resources. For more information, see Working with cloud projects.
  • You are logged in to the appropriate cloud account from Trados Studio.

About this task

When you sign in to your cloud account from Trados Studio, you can see all the cloud accounts linked to your cloud credentialsemail address.

By default, Trados Studio populates the Projects view with the projects available for you on all of these accounts. To display only the projects for a specific account instead, select the account on which you want to work, and enable Show projects for this account only.

Procedure

  1. In the Projects view, click Refresh on the Home tab to update the list of cloud projects available for your selected account. Cloud projects available for download are marked with .
  2. Select the cloud projects on which you want to work and click Download Cloud Projects on the ribbon. Once the project is available in Trados Studio, the project icon updates to and a notification message is displayed in the Notifications tab on the right-hand side of the screen.
    Tip: Use a keyboard shortcut to download cloud projects faster. Go to File > Options > Keyboard Shortcuts > Keyboard Shortcuts and assign a custom shortcut for the Download cloud projects action.
  3. Double-click on one of the downloaded projects, or click Start work in the message displayed in the Notifications tab. This opens the project files in the Files view.
    Newly created cloud projects are available in Trados Studio only after the cloud has finished pre-processing the files. If you are trying to open a project that you have just finished creating, Trados Studio shows a We are preparing your cloud project notification. Click Open in Language Cloud in this notification to check the project preparation in the Stages tab. Once the pre-processing tasks are finished and the project files have reached the first Translation, Linguistic Review or Implement Customer Review task in the workflow, the project files are displayed in Trados Studio's Files view. With a Trados Studio's cloud capabilities subscription, the only manual task in the workflow is the Translation task.
  4. In the Files view, the tasks available for the project file are displayed in the Files navigation panel on the left, under My tasks. In the Files view layout, check the information available in the Status, Cloud Task, Due date, Assigned to columns and all other details available for the files you want to work on. If you are logged in with Trados Studio's built in cloud capabilities subscription, all tasks are automatically assigned to you, as you are the only user in your cloud account.
    With a Trados Team or a Trados Enterprise subscription, file tasks can go through more complex workflows and be assigned to different users for different stages.
  5. Select one or more project files, right-click and chose Open for Translation, Open for Review or Open for Sign Off. With a Trados Studio's built in cloud capabilities subscription, you can only open files for translation, as this is the only task available in the workflow.
    If the project has been created by a different user in your account and assigned to you or to a group that you are a member of, Trados Studio prompts you to first accept the task assigned for the files in the project:
    • Click Accept to accept the task available to you for the project files selected. This notifies the user who has created the project and any other users in your group that you are ready to start working on the cloud project file.
    • Click Preview to open the file in read-only mode and check the file before starting to work on it.
    • Click Reject to remove the task from the My tasks folder in the Files panel, and from your Inbox in your cloud account. The user who has created the project and any other users in your group are notified that you have rejected the task for the file.
  6. If you accept the task, Trados Studio shows a Cloud file is ready message the Notifications tab. Click the Open in Editor button in the notification to start working on the files in the Editor view.

Release accepted tasks

If you change your mind about working on an accepted task, you can release it at any time by clicking Release Task on the Home tab, or in the context menu. Released tasks are automatically sent back to the default assignees. If you are using Trados Studio's built in cloud capabilities, released tasks are automatically reassigned to you, as you are the only user in your cloud account.

Download location for your cloud projects

By default, cloud projects that you download from your cloud account are stored locally on your computer under C:\Users\<your username>\Documents\Studio <version number>\Projects. To change this location, go to File > Setup > Locations and specify a custom location under Download path for cloud projects.

Make sure that your download location uses a shallow folder structure and short folder names. This avoid creating project paths that exceed the Windows path length limit of 260 characters.

If a cloud project cannot be downloaded because the path of any of its files would exceed the path length limit, Trados Studio notifies you to change the default download location for all cloud projects. If newly added cloud project files cannot be downloaded because they would exceed the maximum file path length, Trados Studio notifies you to change the download location for that specific project instead.
