Sharing termbases with external users

Once you create termbases, you can share them with external users via a link. External users are users not included in your cloud account. By contrast, internal users (the users invited in your cloud account) have access to the termbases in that account without the need of any link sharing. This feature is discontinued starting late August 2024.

Before you begin

The people receiving the link must have a cloud account to use or manage the termbase. If the users you share a termbase with do not have a cloud account, they are prompted to create one when accessing the link.

About this task

Every termbase link has an expiration date and two access modes: read-only or full-access.

Procedure

  1. In Trados Studio, select Sign in in the top-right corner to connect to your cloud account.
  2. Log in with your RWS ID credentials. Trados Studio shows all the cloud accounts that you are a member of.
  3. Select your cloud account name from the drop-down menu, and then select RWS Account at the bottom of the window. This opens your cloud account in your default browser where you are prompted to log in.
  4. In the cloud environment, go to the Terminology view or to the Projects > Resources > Termbases.
  5. Select Termbases.
  6. Select the check box corresponding to the termbase you want to share with external users.
  7. Expand the More Actions menu, and select link termbases Share.
  8. Select one of the available permissions from the list:
    • Anyone with the link can manage the termbase.
    • Anyone with the link can read the termbase.
  9. Specify an expiration date for the link to the termbase.
    After this date, the permissions are automatically revoked.
  10. Select Generate link.

What to do next

Copy the link and send it. If you decide to revoke access to the Trados Terminology termbase through the link, you can always delete the link.
