Step 4: Assigning manual tasks to project package users
The Review Project Packages page, of the Create Project Package wizard, enables you to review the package and to assign its files to various users.
About this task
- Review the package contents
- Specify a manual task to be completed
- Assign the package to a user to complete the task
- Specify any files to be included as reference. (You can also choose to add the original source files as reference)
- Specify the date and time by which the task must be completed
Procedure
- Under Packages select a package to display its properties and contents on the right-hand part of the page.
- At this stage:
- Enter a new name for your project package, if necessary.
- Select the user to which you want to assign the specified task for this package, in the Assign to box. If the person to which you want to assign the task is not available from the drop-down list, select Users to display the Users dialog where you can add new users.
- Select a manual task (translation or review) to assign to the specified user for this package, in the Task box. If the task you want to assign is not included in the drop-down list, select Tasks to display the Manual Tasks dialog where you can add new manual tasks.
- Specify package details:
To... Do this Give the package a due date and time that is different from the project due date and time,
Select the checkbox next to Due Date and select a new due date and time from the drop-down lists.
Add a comment to the package,
Type the comment in the Comment box. The team member who receives the package sees this comment when they open the package.
- Review the package content and make changes to the package as required:
To... Do this Create another package,
Select Add. The new package appears in the Packages box.
Move files from one package to another,
Select the package containing the files to be moved, select the files from the right-hand pane and do one of the following:- Drag and drop them into the required package
- Click Move to Package. In the Move Files dialog, select the package you want to move the files to from the drop-down list and select OK.
Move folders from one package to another,
Select the folder from the Packages box, and drag and drop it into another package in the Packages box.
Remove a package,
Select the package, and then select Remove.
Add files to a package,
Select the package, and then select Add Files. In the Select Files dialog add the necessary files.
Note:- This is useful if you want to add reference files to the package. Reference files are not automatically included in a package unless you had already explicitly selected them in the Files view when you selected the Create Project Package option.
- If a translatable or localizable was already added to another package as a non-reference file, it is marked as a reference file for the current package automatically.
Remove files from a package,
Select the package from which you want to remove files. Select the files, and then select Remove Files. From the prompt that is displayed, select Yes to confirm.
Specify a translatable or localizable file as reference,
Select the checkbox for the file you want to specify as reference, in the Reference File column.
You can include the original source files as reference. Specifying a file as reference means that the package recipient is not meant to change the file, but only use it for more background information.
For example, if you send out separate packages for each chapter of a book to different translators, you may want to send all other chapters to a translator for context. If the usage of this file is already specified as reference, this field is not editable.
- Select Next to go to the Additional Options page. If you included files which are not marked as reference, and which have already been included in a package and not returned, a warning is displayed asking if you want to include these files:
- If you select No, the files are removed from the package and the Additional Options page is displayed.
- If you select Yes, the files are included in the package and the Additional Options page is displayed.
- If you select Cancel, you remain on the Review Project Packages page where you can make changes as required.
