Creating schedule templates

You can create schedule templates at any time. Schedule templates enable you to predefine the duration and reminder notifications for tasks and projects.

Procedure

  1. Select Resources > Workflows > Schedule Templates.
  2. Select New Schedule Template.
  3. Enter a name, select a location, and (optionally) provide a description for your schedule template.
  4. Under Project, specify a project duration and a reminder notification. Enter your duration in terms of days, hours (maximum 23), and minutes (maximum 59). If you select None, the system does not send reminder notifications. If you select "-", the system sends default reminder notifications, 24h before the due date.
  5. Under Tasks, select Add task schedule ... and do one of the following:
    • To select and configure each task one by one, from the Human Tasks list select a task.
    • To populate the task list with all the tasks in a workflow template, from the Workflow Templates list, select a template.
  6. To add a duration for each task, hover over the DURATION slot in the row, and select the pencil icon. Enter your duration in terms of days, hours (maximum 23), and minutes (maximum 59), and select confirm icon. If you do not specify any values, the system calculates a due date for this task based on the time left after subtracting the other task durations from the project due date and dividing the remaining time by all the tasks which do not have a duration specified in the schedule template.
  7. To specify when reminder notifications are sent to signal that tasks are close to their due date, hover over the REMINDER NOTIFICATION slot in the row, and select the pencil icon. Select a value from the list. If you select None, the system does not send reminder notifications. If you select "-", the system sends reminder notifications 24h before the task is close to its due date.
  8. The duration and reminders specified so far apply to all the source and target languages of a task. To specify different durations and reminders at target language level, hover over the end of the task row, expand options menu, and select Add a Schedule per language:
    1. Select a source language and one or more target languages. To add more language pairs, select add per language schedule and add your languages.
    2. Specify a duration and a reminder notification.
    3. Select Add Schedule.
  9. If you have several tasks and several language pairs specified, you can continue editing their duration and reminder. You can also hover to the end of each row, expand options menu and do one or all of the following operations: delete rows values, copy and paste row values, apply row values at different levels.
  10. Copy and paste row values:
    • Select Copy Schedule at task level and paste the values at another task level.
    • Select Copy Schedule at source-language level and paste the values to another source-language level.
    • Select Copy Schedule at target-language level and paste the values to another target-language level.
  11. Delete row values:
    • Select Delete Schedule at task level to delete the entire task (all its source and target languages).
    • Select Delete Schedule at source-language level to delete the all the source and target languages under a task.
    • Select Delete Schedule at target-language level to delete the schedule for the selected target language.
  12. Apply row values across task rows. Select Apply this Schedule for all tasks. The duration and reminder from the selected row applies to all tasks in the schedule template, at task level.
  13. Apply row values across source-language rows. Select Apply this Schedule to all source languages from this task. The duration and reminder notification from the selected row applies to all the source-language rows under the task.
  14. Apply row values across target-language level. To do this:
    • Select Apply this Schedule to all languages. The duration and reminder of the selected target-language row apply to all target languages under all source languages of a task.
    • Select Apply this Schedule to all target languages from this source language. The duration and reminder of the selected target-language row apply to all target languages under the same source language as the selected target language.
    • Select Apply this Schedule to this target language in all available source languages. The duration and reminder notification from a target language to all target languages across all source languages from all tasks.
  15. If you made a mistake while creating or editing a schedule template, you can undo (undo last action for schedule templates) and redo (redo last action for schedule templates) the last 5 actions you performed.
  16. Select Create.
