Folders and inheritance for lead project managers

The main advantage of organizing your resources into folders and subfolders is inheritance.

Types of inheritance

Parent inheritance means that child folders inherit resources from their parent folder (or grandparent folder or higher above).

In brief, inheritance ensures that:
  • Users can see and use the resources stored in the folders above them (parent or grandparent folders).
  • Users cannot see and cannot use the resources stored in brother folders or uncle folders.

Inheritance differences: projects vs. project resources

There is an important difference between the way projects and project resources (all the elements needed to create a project: users, project templates, workflows, linguistic resources and so on) are accessed based on inheritance.

As lead project manager, you can access the project resources from:
  • Your current folder (see and use) to create a project in your current folder
  • Your parent folder and above (see and use) to create a project in your current folder
  • Your child folders (see and use) to create a project in your child folders
As lead project manager, you can access the projects from:
  • Your current folder (see and manage)
  • Your child folders (see and manage)

Inheritance of project resources per location

Let's see how the place where the lead project manager is located influences access to project resources:
  • You are a lead project manager located in the Customers folder and you:
    • Can see and use all project resources in the Customers folder.
    • Can see and use the project resources stored in your parent folder (or grandparent folder) and above (Root folder).
    • Can see (and edit) but cannot use the project resources stored in your child folders. This means that you cannot create resources based on the resources stored in your child folders. For example, you cannot create a new project based on a project template stored in your child folders.
  • You are a lead project manager located in a customer folder (or subfolder) and you can:
    • Can see and use the project resources stored in your current folder.
    • Can see and use the project resources stored in your parent folder (or grandparent folder) and above (Root folder).
    • Can see (and edit) but cannot use the project resources stored in your child folders. This means that you cannot create resources based on the resources stored in your child folders. For example, you cannot create a new project based on a project template stored in your child folders.
    • Cannot see and use resources stored in your brother folders.

Inheritance of projects per location

Let's see how the place where the lead project manager is located influences access to projects:
  • You are a lead project manager located in the Customers folder and you:
    • Can see and manage all projects from the Customers folder.
    • Can see and manage all projects from the Customers child folders (customer-specific folders).
    • Cannot manage the projects stored in your parent folder (or grandparent folder) and above (Root folder).
    • Cannot create a project in your parent folder (or grandparent folder) and above (Root folder).
  • You are a lead project manager located in a customer folder (or subfolder) and you can:
    • Can see and manage the projects stored in your current folder.
    • Can see and manage the projects stored in your child folders.
    • Cannot see and manage the projects stored in your brother folders.
    • Cannot manage the projects stored in your parent folder (or grandparent folder) and above (Root folder).
    • Cannot create a project in your parent folder (or grandparent folder) and above (Root folder).

Example - How is my access and visibility influenced by folder inheritance?

Taking the account structure below as an example, let's go through some inheritance scenarios:
  • Root (folder)
    • Customers (folder)
      • Food Company (folder)
        • Dairy Department (subfolder)
        • Bakery Department (subfolder)
          • Gluten products (subfolder)
          • Gluten-free products (subfolder)
      • Pharmaceutical Company (folder)
        • Vaccine Department (subfolder)
        • Drug Department (subfolder)
Scenario 1 -You are a lead project manager located in the Customers folder (you are a user who is part of the Lead Project Manager group in the Customers folder). - You:
  • Project resources:
    • Can see and use all project resources in the Customers folder.
    • Can see and use the project resources stored in your parent folder (or grandparent folder) and above (Root folder).
    • Can see (and edit) but cannot use the project resources stored in your child folders. This means that you cannot create resources based on the resources stored in your child folders. For example, you cannot create a new project based on a project template stored in your child folders.
  • Projects:
    • Can see and manage all projects from the Customers folder.
    • Can see and manage all projects from the Customers child folders (customer-specific folders).
    • Cannot manage the projects stored in your parent folder (or grandparent folder) and above (Root folder).
    • Cannot create a project in your parent folder (or grandparent folder) and above (Root folder).
Scenario 2 - You are a lead project manager located in the Food Company folder (you are a user who is part of the Lead Project Manager group in the Food Company folder). - You:
  • Project resources:
    • Can see and use the project resources from the Food Company folder (current folder).
    • Can see and use the project resources from the Customers folder and Root folder (above folders: parent and grandparent folders).
    • Can see and edit the project resources from the following folders: Dairy Department, Bakery Department, Gluten products, Gluten-free products (below folders: child and grandchild).
    • Cannot see and use the project resources from the Pharmaceutical Company folder (brother folder).
  • Projects:
    • Can see and manage the projects from the Food Company folder (current folder).
    • Can see and manage the projects from the following folders: Dairy Department, Bakery Department, Gluten products, Gluten-free products (below folders: child and grandchild)
    • Cannot manage the projects from the Customers folder and Root folder (above folders: parent and grandparent folders).
    • Cannot create a project in the Customers folder and Root folder (above folders: parent and grandparent folders).
Scenario 3 - You are a lead project manager located in the Bakery Department folder (you are a user who is part of the Lead Project Manager group in the Bakery Department folder). - You:
  • Project resources:
    • Can see and use the project resources from the Bakery Department folder (current folder).
    • Can see and use the project resources from the Food Company folder, Customers folder and Root folder (above folders: parent and grandparent folders).
    • Can see and edit the project resources from the following folders: Gluten products, Gluten-free products (below folders: child folders).
    • Cannot see and use the project resources from the Dairy Department folder (brother folder).
  • Projects:
    • Can see and manage the projects from the Bakery Department folder (current folder).
    • Can see and manage the projects from the following folders: Gluten products, Gluten-free products (below folders: child folders).
    • Cannot manage projects from the Dairy Department folder (brother folder).
    • Cannot create a project in the Dairy Department folder (brother folder).
