Reassigning tasks to users for started projects

Workflow tasks correspond to the tasks users receive in their Inbox. Once a project is started, you can reassign users and groups to tasks.

About this task

This topic presents 4 use cases:
  • You want to reassign a workflow task which is pending or in progress.
  • You want to reassign several workflow tasks (different task types or different target languages) which are pending or in progress and which have the same assignees.
  • You want to reassign several workflow tasks (different task types or different target languages) which have different assignees.
  • You want to reassign a task which is pending, a future workflow task, or both.
Note that:
  • A workflow task which is pending entails that the task reached the workflow step, and that none of the assigned users have accepted the task yet.
  • A workflow task which is in progress entails that the task reached the workflow step, and that a user accepted this task and is working on it.
  • A future workflow tasks entails that the workflow has not reached this task, some users are assigned to the task, but you would like to add more users or assign the task to other users.

Procedure

  1. Log in to Trados Team (by accessing this link: http://languagecloud.sdl.com/lc).
  2. Go to the Projects view.
  3. Identify the project and select the check box corresponding to the project.
  4. Select Open.
  5. To reassign users to a workflow task which is pending or in progress:
    1. Select the Stages sub-tab.
    2. Identify the task which is in progress.
    3. Select the check box corresponding to the task.
    4. Select Reassign Task.
    5. From the Assignees list, select the users or groups you want to reassign the task to.
    6. If you want to assign groups to tasks, the system returns all groups which have a maximum of 100 users for selection. If you select several groups to assign them to the same task, and the total number of users in these groups exceeds 100 users, the system issues a warning that you must adjust your selected assignees and groups before you can save the workflow.
    7. Select Save.
  6. To reassign users to several workflow tasks (different task types or different target languages) which are pending or in progress and which have the same assignees:
    1. Ensure that the Only return users with the matching service type check box is not and was not selected anywhere in the workflow (workflow, project template, Planning task, or the project Workflow sub-tab).
    2. Select the Stages sub-tab.
    3. Identify the tasks which are in progress.
    4. Select the check boxes corresponding to the tasks.
    5. Select Reassign Task. A summary of all the tasks you selected is displayed. The summary includes information about the task type, the number of selected tasks, and the language pairs.
    6. From the Assignees list, select the users or groups you want to reassign the task to.
    7. Select Save.
  7. To reassign users to several workflow tasks in one go:
    1. Select the Stages sub-tab, select the list view (The icon corresponding to the List view.) or tiles view (The icon corresponding to the Tiles view.).
    2. Identify the tasks.
    3. Select the check boxes corresponding to the tasks.
    4. Select Reassign Task. In the Assignees field, enter the user names, and decide how these new users are handled.
      • Select Append to existing assignees to add the users in the Assignees field to the existing assignees of all the selected tasks. This operation cannot be performed for already accepted tasks.
      • Select Update existing assignees to replace the users of all the selected tasks with the users in the Assignees field.
      • Select Remove to remove the users in the Assignees field from the existing assignees of all the selected tasks. This operation cannot be performed for the tasks which have only 1 assignee, because you cannot have tasks with zero assignee.
    5. Select Save.
  8. To reassign users to future workflow task:
    1. Select the Workflow sub-tab.
    2. Identify the task for which you want to reassign users.
    3. Select Assign task for each task, and then add users or groups.
    4. Apply the same assignees for all the target languages of a task (future batch). Select a task and expand the Assign task menu. Hover over a target language row, go to the end of the row and from the menu, select Apply Assignees to all languages.
