Familiarize yourselves with the steps which can be included in Trados Team workflows.

Workflow taskTypeDescription
1.File Type DetectionAutomatedThe system checks if the source files can be processed as translatable by an existing file type configuration.
2.EngineeringHumanEngineers extract the content from an unsupported file type and include it in a supported file type or perform other content-preparation tasks.
3.File Format ConversionAutomatedThe system converts source files to an internal bilingual format for processing purposes.
4.Copy Source to TargetAutomatedThe system creates bilingual versions for each target language.
5.Translation Memory MatchingAutomatedThe system matches the source segments against the translated segments in the TM resources. It is commonly known as pre-translation.
6.Machine TranslationAutomatedThe system applies translations from the MT provider configured in a translation engine based on the match settings there.
7.Generative TranslationAutomatedThe system translates your content with LLM resources. The Generative Translation workflow task is available only if your purchased the AI Essentials package.
8.Generate Offline Package ResourcesAutomatedThe project TMs and termbases are added to a translation or review package during download from the cloud environment.
9.Bilingual EngineeringHumanAdministrators, lead project managers, and project managers can make changes to the project files before being evaluated for quote purposes and before any translation activity can begin.
  • Select Send to Translation Memory Matching to send the changes made to the file back to the TM for synchronization and update.
  • Select Done to send the file onto the next workflow task.
10.AnalysisAutomatedThe system calculates statistics showing the number of segments, the number of words per match bands, and cross-file repetitions. The analysis statistics are used to calculate the work volume and the quote.
11.Project PlanningHumanProject managers configure workflow steps and review user assignments for the entire workflow.
12.Language PlanningHumanProject managers configure workflow steps and review user assignments for a specific target language in the workflow.
13.TranslationHumanLinguists translate the source content into the required target languages. The segments translators confirm get the Translated status.
14.Linguistic ReviewHumanLinguists review the translated content, and either approve it or resubmit it for correction. There can be several outcomes after users finish working on the Linguistic Review task for a file:
  • If translators still need to make changes, reviewers select Request Corrections, and the file is sent back for translation. The segments reviewers confirm get the Reviewed status.
  • If translators do not need to make other changes, and the Implement Linguistic Review task (the next workflow task) is disabled, reviewers select Complete, and the file moves on to the Finalization phase (the TM is updated and the target file is generated). The segments reviewers confirm get the Reviewed status.
  • If translators do not need to make other changes, and the Implement Linguistic Review task (the next workflow task) is enabled, reviewers select Complete, and the file moves on to the Implement Linguistic Review task where the file can be further edited in (Trados Online Editor or Trados Studio) and the content approved.
15.Implement Linguistic ReviewHumanCheck the translated content before the target files are generated.
  • Edit the content further after Linguistic Review (if necessary) and send the file back to Linguistic Review for further changes by selecting Request Corrections.
  • Edit the content further after Linguistic Review (if necessary) and approve the translation by selecting Complete. The segments confirmed at this stage get the Translation Approved status.
16.Translation Memory UpdateAutomatedThe system updates the TM(s) associated with the project with specified segments based on project settings.
17.Target File GenerationAutomatedThe system keeps the latest bilingual file and also produces a translated file in the native file format. As part of the Target File Generation task, you cannot perform any manual action, including uploading an *.sdlxliff file.
18.Final CheckHumanProject managers perform final checks and/or upload the target files as ZIP content before delivering them to the customer.
Complete the task with one of the following outcomes:
  • Select Send to Translation to move the file back to the Translation task. (as of November 2023)
  • Select Send to Linguistic Review to move the file back to the Linguistic Review task. (as of November 2023)
  • Select Done to move the file onto the next workflow task. (as of November 2023)
19.File DeliveryAutomatedThe system converts the latest bilingual file to a translated file in the native bilingual file format, and also creates a new version of the file. File Delivery was introduced in November 2023.
20.Hold for FeedbackHumanProject managers wait for feedback from the customer or other stakeholders and, if necessary, can return the file back to a previous workflow task. Hold for Feedback was introduced in November 2023.
Complete the task with one of the following outcomes:
  • Select Send to Translation to move the file back to the Translation task. (as of November 2023)
  • Select Send to Linguistic Review to move the file back to the Linguistic Review task. (as of November 2023)
  • Select Send to Final Check to move the file back to the Final Check task. (as of November 2023)
  • Select Done to move the file onto the next workflow task. (as of November 2023)
21.ErrorHumanErrors may occur after any task. If this happens, project managers and/or engineers can cancel, retry or skip any failed task.
22.Generative TranscriptionAutomatedThe Generative Transcription task is available as part of the Generative Subtitle Translation for Team default workflow template only if you purchase the Generative Subtitling feature.

The Generative Transcription task converts the source video into an *.srt file, which becomes a new version (v2) of the source file. The Generative Transcription task then analyzes the *.srt file and uses AI technology to generate a summary of what is being said in the video. The generated summary is then used as context for the Generative Subtitle Translation task and is not available to users.

The settings of the Generative Transcription task are:
  • Transcription model - This setting specifies the degree of accuracy of the transcription. Select one of the options: Fast, Medium, Accurate.
  • Speech recognition - This setting specifies how speech is recognized in general and in contexts where speech is less clear. Select one of the options: Loose (which accepts all recognized words), Flexible, Strict (which avoids the use of low-probability words)
  • Segment length - This setting refers to the maximum number of characters per transcribed segment. The recommended value is 42.
23.Generative Subtitle TranslationAutomatedThe Generative Subtitle Translation task is available as part of the Generative Subtitle Translation for Team default workflow template only if you purchase the Generative Subtitling feature. The Generative Subtitle Translation task splits the contents of the *.srt file into groups of multiple segments and has them translated automatically while also taking into account the termbases configured for the project.
