Uploading files for all your accepted tasks

After you worked offline on the files corresponding to your accepted tasks, you can batch upload (bulk upload) them. You can replace files for tasks that have the same or different task types, from the same project or from different projects. File replacement is useful if the target files contain errors or if you have a new version of the target file you want to work on.

Before you begin

Automatic file replacement is done based on file prefix (task ID) or file name.
  • The automatic replacement process will fail if you delete or change the task ID which prefixes the file name. The task ID is added to the file name when you perform a batch download. The replacement process matches the files with the task and project they belong to based on the task ID prefix in the file name.
  • The automatic replacement process will fail if the files you are uploading do not have a task ID, AND if the name of the file you are replacing is different from the name of the file you are replacing it with.

For all the cases where the automatic file replacement fails, you can perform manual matching in the Match Files with Tasks step of the wizard.

Note that if you upload a *.zip file, the total supported length of file name+path is 255 characters.

About this task

This operation replaces the previous files, and it is available for the following tasks: Engineering, DTP, Final Check, Translation, Linguistic Review, and Implement Linguistic Review.

Upload files by selecting each corresponding task

Procedure

  1. Log in to Trados Team (by accessing this link: http://languagecloud.sdl.com/lc).
  2. Go to the Inbox view.
  3. Select the Active tab.
  4. Identify the tasks and select their check boxes.
  5. Select More actions, and then one of the following:
    • If you selected tasks of the same type (and the tasks types are Engineering, DTP, or Final Check), select Replace files.
    • If you selected tasks of the same type (and the tasks types are Translation, Linguistic Review, or Implement Linguistic Review), select Upload files.
    • If you selected tasks of various types, select Replace/Upload files.
  6. In the wizard, select Upload Files.
  7. On the Upload files page, select a source language and a target language, and then browse for the files you want to upload. After you complete all the steps in this procedure, repeat the process for the other source-target language pairs you need.
  8. Browse for your files or *.zip archive. Upload as many files or archives as needed as long as these belong to the same project.
    1. If you upload an archive, select one of the options:
      • If you select Unzip folders (recommended for all task types), the files are extracted individually. Select Confirm and select Next.
      • If you select Keep zip folders (recommended for DTP and Final Check tasks), the files are not extracted individually. RWS recommends that you use this option if your *.zip includes only DTP or Final Check files. If your *.zip includes or consists of Engineering files, these will be scanned and marked as Reference, which means that the files within the *.zip will not move on to the next step of the translation workflow. Select Confirm and go to the last step.
    2. If the files you are uploading have the same name, decide what happens to the files. You can consult the file path of each uploaded file under the file name.
      • The files are identical and you want to keep only one file. Select the radio button corresponding to the file you want to add, and then select Keep this file. The file you selected will be uploaded. The file you did not select is not uploaded. Select Do this for all conflicts if you do not want to check the rest of the conflicts.
      • The files are not identical and you want to match them manually in the last step of the wizard. Select Keep all files. All the files are uploaded and you can perform manual matching in the Match Files with Tasks step of the wizard. This option is recommended if your files have the same name, if the files do not have the task ID prefix, and if these files belong to different projects, and therefore do not contain the same content. Select Do this for all conflicts if you do not want to check the rest of the conflicts.
      • The files are identical and you do not want to keep any of them. Select Skip all files. The files are not uploaded. Select Do this for all conflicts if you do not want to check the rest of the conflicts.
  9. In the wizard, on the Match Files with Tasks page, check the results of the automatic matching.
    • The files which were matched correctly have the File matched status.
    • The files for which no match was found have the No match status. Click inside the REPLACE FILE WITH row, and select a file from the list of files which could not be matched. Wait until the status changes to File matched. Below each file in the list, you can check the ZIP folder the file belongs to. This is useful to discriminate between files with the same names, from different folders, belonging to different projects.
    • The Engineering files which fail have the Error while scanning status. This error occurs either because the file type configuration does not include the correct file type or because the automatic scanning fails as a result of uploading a very large number of files at once. After the correct file type configuration is enabled or configured in the project file type configuration, select the check box corresponding to the files that failed, and select Retry Scanning.
  10. On the Match Files with Tasks page, do one or all of the following if necessary:
    1. Change the file type to be Translatable or Reference, if necessary. This change is relevant if you added your files individually or if you chose to unzip your archive.
    2. Change the File Type Setting for Engineering tasks, if you have another file type you would like to use for scanning purposes. RWS recommends that you choose a compatible file type, namely a file type that has the same extension as the file you are trying to upload. For example, if you have an *.xlsx file, and the system automatically scans it with Microsoft Excel 2007-2021, you can select Bilingual Excel to trigger another automatic scan, because both file types can scan *.xlsx extensions. Choosing Microsoft Word, for example, which cannot scan an *.xlsx extension leads to the file being stuck as reference.
    3. Change the files that were matched automatically or manually, by clicking inside the REPLACE FILE WITH row, and selecting a file from the list of files.
  11. On the Match Files with Tasks page, select Replace/Upload, and then Complete OR select Replace and Complete/Upload and Complete.

Upload files without selecting each corresponding task

Procedure

  1. Log in to Trados Team (by accessing this link: http://languagecloud.sdl.com/lc).
  2. Go to the Inbox view.
  3. Select the Active tab.
  4. Select More actions, and then one of the following:
    • If you selected tasks of the same type (and the tasks types are Engineering, DTP, or Final Check), select Replace files.
    • If you selected tasks of the same type (and the tasks types are Translation, Linguistic Review, or Implement Linguistic Review), select Upload files.
    • If you selected tasks of various types, select Replace/Upload files.
  5. On the Select projects page, select the check boxes of the projects for which you want to upload the files you worked on offline.
  6. In the wizard, select Upload Files.
  7. On the Upload files page, select a source language and a target language, and then browse for the files you want to upload. After you complete all the steps in this procedure, repeat the process for the other source-target language pairs you need.
  8. Browse for your files or *.zip archive. Upload as many files or archives as needed. The application matches the uploaded files with the corresponding task.
    1. If you upload an archive, select one of the options:
      • If you select Unzip folders (recommended for all task types), the files are extracted individually. Select Confirm and select Next.
      • If you select Keep zip folders (recommended for DTP and Final Check tasks), the files are not extracted individually.
