Exporting files for translation

To send files outside the Content Manager environment for translation, you first generate a translation report, and from the report, you export the files to a ZIP file that you then send out.

Procedure

  1. In Organize Space, go to Content > Structured Content.
  2. Locate the publication for which you want to export translation files.
  3. In the list of publications, double-click the publication to show the detail view.
The detail view shows all publication versions, and within each version, the available output formats.
  4. From the list, select the publication version for which you want a report, and select Generate translation report in the button toolbar.
A Generate translation report dialog opens.
  5. Select the language for which you want the report.
  6. Select the objects versions to be included in the report.
    OptionDescription
BaselineAll version information is taken from the baseline that is associated with this version of the publication.
Latest versionIf there is no baseline, or the baseline does not contain version information for all objects, include the latest available version of each object. This action does not modify your baseline.
Latest released versionIf there is no baseline, or the baseline does not contain version information for all objects, include the latest released version of each object. This action does not modify your baseline.
  7. Click OK.
  8. Just above the list of objects, under Outline details, from the Status dropdown, select To be translated.
The list of objects now only shows items with the To be translated status.
  9. Select the TITLE checkbox to select all of these items.
  10. From the Select workflow action dropdown, select In translation.
This will give all selected items the In translation status when you export them.
  11. Click Update and Export.

Results

On the server, a zip file containing the files that you exported for translation is saved in C:\InfoShare\Data\ExportService\Data\DataExports (the exact location depends on where you have installed the software).
