Releasing a publication's objects from the workflow report

Generate a workflow report view the workflow status of all objects in the publication and then release them.

About this task

Before you can release a publication output, the output must first have a Release Candidate status. For your output to get a Release Candidate status, you must first release all objects (topics, maps, images, resources) in your publication, and then publish (or republish) the publication version to that publication output. Once all of the content is released, you can freeze the baseline of a publication.

Procedure

  1. In Organize Space, go to Content > Structured Content.
  2. Locate the publication whose topics you want to release.
  3. In the list of publications, double-click the publication to show the detail view.
    The detail view shows all publication versions, and within each version, the available output formats.
  4. Select the version of the publication whose topics you want to release.
  5. Select Generate workflow report from the button toolbar at the top.
    A Generate workflow report dialog opens.
  6. Select which versions of the topics in this publication you want to see:

    BaselineSelect the version of each topic as it is specified in the baseline of the publication
    Latest versionSelect the last version of each topic, regardless of its workflow status
    Latest released versionSelect the last version of each topic, provided that its workflow status is a released-type status
  7. Select Generate
    The dialog closes and a workflow report for the selected publication version appears.
  8. In the Outline details area, select the check box next to each object you want to release, or select the topmost checkbox in the column header to select all objects.
  9. Select Select workflow action in the menu bar at the top of the window.
    A list opens, showing the workflow status to which you can set the selected objects.
  10. Select Update (NUMBER), where NUMBER is the number of objects that will be affected.
    The status changes for all selected items.
