Searching the repository from Publication Manager

You can search for objects across the entire repository. The search mechanism searches both object-level metadata and full-text.

About this task

This topic describes steps to complete the task in Publication Manager. You can also perform this task from the Browse Repository window or in Organize Space.

Procedure

  1. In Publication Manager, select Tools > Browse Repository.
  2. Do one of the following:
    • Select Edit > Search. This opens the Search pane.
    • Select Tools > Browse repository and in the dialog that opens, select the Search tab.
  3. Under Find what, enter your search query.
    You can specify the search criteria by typing one or more search terms (including phrases) that describe the information you want to find. You can use Boolean operators, quotes and wildcard characters. For more information,
  4. Under Look in, select Entire Repository.
    • To search for objects (topics, maps, and so on, but not Publications), select Entire Repository. This option is selected by default. If you wish, you can specify a specific type of object under Object types.
    • To search for Publications, select Entire Repository for publications.
  5. By default, you only search in the latest versions of the objects in the repository. To instead search in all versions, select All versions.
  6. Optional: Optionally, expand Advanced Options to access options where you can type, or use the drop-down menus, to enter the desired search criteria to limit the search to a more narrow field of search criteria.
  7. Click Search.
    A result list appears.
    • The default list is sorted by relevance.
    • You can click on a column header in the list to sort on a that column.
  8. Optional: To locate an object in its repository location, right-click the object in the results list and select Locate in the repository.
    Your Browse repository dialog switches from its Search tab to its Repository tab.
  9. Optionally, to conduct a new search, use the Reset button to clear data from all fields and specify new search criteria.
