Selecting conditions for your publication

If you have conditional data tagged in your publication, Publication Manager allows you to easily select the conditional data to use in the output at publication time and produce personalized output for your readers.

About this task

The current set of selected conditions for a particular version of a publication is the version's condition context. The context applies to all output formats for the version of the publication. Different versions of a publication can have different condition contexts.

Procedure

  1. In Publication Manager, click the Conditions tab.
The tab shows the current condition context, if one exists.
  2. Depending on what is already present on the Conditions tab, you can continue as follows:
The three possible states for the condition context are as follows:
State of the condition contextMeaning and next steps
There is no defined condition context. This essentially means that conditional filtering is turned off. Conditional filtering includes all conditioned content from publishing.

The Conditions tab will display a message to alert you of this fact and prompt you to add a context. Click on the message to continue and create the context.

There is a condition context but it is empty. This occurs if a user has used the option to create a context for the publication version but has not selected any conditions. Conditional filtering excludes all conditioned content from publishing.

To add conditions, click the Modify button on the top left.

The conditions selected for the publication are listed.A list of conditions means that the condition context is present. Conditional filtering includes content in publishing based on selected conditions.

To modify the current context, click the Modify button on the top left.

  3. Click the Modify button on the top left.
    The Select Conditions dialog appears.
  4. Click to check the box next to the conditions you want to include in your publication. A check in the box indicates that all elements tagged with that condition are to be included in the output.
Use the Deselect All Conditions option at the top to deselect conditions that have already been applied, or use the Select All Conditions to apply all conditions to your publication.
  5. Optionally, before saving, you can filter the selection to verify what is selected to be included or excluded from your publication.
    • Display All Conditions: displays all conditions defined in the repository.
    • Display Conditions Used in Publication: displays all conditions that are used in the publication that is opened.
    • Display Unused Conditions: displays all conditions that are not used in the publication that is opened.
    • Display Selected Conditions: only displays the conditions that are selected in the publication that is opened.
  6. Click OK.
    The selected conditions are listed.

Results

You can see the expected output from the condition context in Publication Manager's preview pane.
The preview uses the following highlighting for conditional text:
  • Green background: the text is included when you publish the publication.
  • Red background: the text is excluded when you publish the publication.
