Working with Bundles in Experience Space

You can quickly create new Bundles from Experience Space with minimal steps, and editing or managing existing Bundles is also a simple process.

Before you begin

If your organization has implemented workflow, Bundles can be subject to a workflow process (determined by the Bundle Schema). If a Bundle is currently in workflow, this can restrict your ability to modify its contents.

Procedure

  • Create an empty Bundle:
    1. In a folder where you want to create a Bundle, select Add new > Bundle.
    2. Give the Bundle a unique name and select Create.
  • Add items to a Bundle:
    1. Open the Bundle so that its contents (if any) appear in the main Central items area.
    2. Select Add items.
    3. Locate items that you want to add to the Bundle so that they appear in the Central items area.
    4. Select one or more items, and select Insert.
      Repeat the last two steps, as needed, to add more items from different locations.
    If the Bundle is in workflow, the added item(s) are now included in the list of related items for the current activity.
  • Start workflow on a Bundle:

    Unlike other items, Bundles do not enter a workflow process automatically in response to a trigger; instead, you must start workflow manually. Starting workflow on a Bundle puts into workflow the Bundle itself and all of the items it contains.

    1. Open the Bundle so that its contents appear in the main Central items area.
    2. Select the (Start workflow) button.
  • Remove items from a Bundle:
    1. Open the Bundle so that its contents appear in the main Central items area.
    2. Select the (Delete) button.
    The selected items are removed from the Bundle. Note the following:
    • If the Bundle is in workflow, the items are taken out of workflow in its current state. It retains its current approval status.
    • Some items required to be part of a Bundle. If you removed such an item from a Bundle and it is no longer in any Bundle, you must add the item to at least one Bundle again, and then complete that Bundle's workflow process. This is necessary before you can check in any changes to the item.
  • Publish or unpublish a Bundle.

    Publishing a Bundle causes all publishable items in the Bundle to be published. Likewise, unpublishing a bundle causes all items in the Bundle to be unpublished. Non-publishable items in the Bundle are ignored.

    1. Open the Bundle so that its contents appear in the main Central items area.
    2. Select the appropriate option:
      • To publish all publishable items in the Bundle, select the (Pubish) button.
      • To unpublish all publishable items in the Bundle, select the (Unpubish) button.
      You will be able to select the publishing targets and a number of other options.
    When approval statuses are set, a particular publishing destination may require a certain minimum approval status for publishing to that destination. This applies also to items going through workflow in a Bundle.
    • If an item has achieved the minimum approval status for a destination, you can publish the current, in-workflow version of the item to that destination.
    • If the item does not meet the minimum approval status for a destination, the version published will be the last checked-in version of the item that has the minimum approval status for the destination.
