Picking up a workflow activity in Experience Space

All your assigned and in-progress activities appear on the Activities page. From there, you can start an activity, perform the required work, and finish an activity once it is done. Your assigned activities include workflow activities that are assigned to you specifically and activities assigned to any group of which you are a member.

Procedure

  • Start an activity
    Once assigned an activity, you can start work on it.
    1. From the Workflow Activities page, select one or more activities with the status Assigned.
    2. Select (Start Activity) to start performing the activity. No other member of your group can work on this activity.
      The activity status changes to In progress.
  • Perform an activity
    The specific work involved to perform an activity will naturally vary from activity to activity. The following are some general tips and reminders:
    • On the Information panel, examine the Activity description to understand the overall purpose of this step in the process.
    • On the Related items panel, review the items associated with the activity.

      If the primary item is a bundle, it will appear first in the list with the bundle's contents listed below it.

      Open each item to individually examine the item and perform the necessary task. Repeat this step for all items.

    • If needed, examine the Process history panel for insight about the preceding steps in the process, which could be relevant to the current activity.
  • Finish an activity

    When you have finished performing an activity, indicate this by explicitly finishing the activity.

    1. Select (Finish activity).
    2. (Optional) In the Comment field, enter a comment to describe your actions or to provide additional information that might be relevant for the next step. For example, if the activity was for reviewing content, you could leave notes regarding the review.
    3. From the Next activity list, select the next activity to be performed.

      Depending on the type of activity you are finishing, there may be a "next activity," that is, another activity that will be created once you finish this one. In some cases, this is completely automatic and requires no input from you, but in other cases, you may have the following additional options:

      • Selecting the next activity —You may be requested to select the next activity to be performed. For example, finishing the activity could involve a decision, such as to approve or reject reviewed content, and this determines the next activity that you choose.
      • Changing the activity title — You may be allowed to edit the Title text of the activity. This is the name of the activity as it will appear to users.
      • Selecting the assignee — You may be allowed to select the user or group who will be assigned to the next activity. The default assignee is set in the activity definition, and in some cases, you cannot override this assignment. For example, the activity definition indicates that a specific user is the assignee.
    The activity status changes to Completed.
