Review and Preview steps in a TMS workflow

You can add a Review and/or a Preview step to TMS workflows. This step allows translated content that has been retrieved from TMS to be previewed and reviewed before being accepted. The Preview and Review steps are both optional, you can use neither of them, one of them, or both of them. The Review step only works in combination with TMS 11 or higher.

When a translation job first gets sent back to Tridion Sites, users can preview how the translated content looks in the context of a website, review it and send it back for translation if required, without creating a new job or copying the job.

Usually, workflow steps are set up in Schemas and Structure Groups.

In TMS workflows, items can only move to the next step, or be rejected to the previous manual step. The diagram below is an example of a typical workflow.
  • Translated Content Retrieval for Review: when a translation enters this step, it is retrieved by Tridion Sites Translation Manager as content that needs to be reviewed. This step should be assigned to a system user that represents the Tridion Sites Translation Manager service in TMS. Do not assign the step to standard TMS users as they could be under the impression that they need to complete the step, effectively terminating the review in Tridion Sites.
    • No review: if the item in Tridion Sites Translation Manager does not support review or review is not configured for item, then this step will be "Accepted" automatically by Tridion Sites.
  • Review [SDL Web]: in this step, translated content can be amended in Tridion Sites Translation Manager. This step should be assigned to a system user that represents the Tridion Sites Translation Manager service in TMS, as changes should not be made in TMS at this stage (if they are, they will be lost if updates are retrieved from Tridion Sites).
    • Accept: if the translation is accepted in Tridion Sites Translation Manager, this step will be "accepted" using the comment generated in the Workflow Activity notifications of Tridion Sites.
    • Reject: this step will be "rejected" if the translation is rejected in Tridion Sites Translation Manager. The manual step Translated Content Retrieval for Review will also be rejected during the next update cycle. This implies that there can be a delay between the Tridion Sites user rejecting the item and the TMS user seeing the rejection. If the TMS workflow has any manual steps between the Translated Content Retrieval for Review and Translate steps, the rejected item will stop. A customized implementation would be required to detect this situation and automatically reject the item again.
    • No review: if an item in Tridion Sites Translation Manager does not support Review, or Review is not configured, this step will be automatically "accepted" by Tridion Sites Translation Manager. If the TMS workflow contains any manual steps that need to be skipped for non-reviewable items, the step name must contain [SDL Web].
