Version control

Experience Space locks each versioned content item while you are editing it so that another user cannot also edit the same item while your work is still in progress.

About version control

Edit to start progress

When you open an item, it displays in a view-only mode and is not locked. If you select the Edit option, the status change to "In progress" and becomes locked so that only you can edit the item.

The Edit option appears only if the item is not already locked by someone else (or by a workflow process).

In progress and locked items

While you have an item in progress, Experience Space displays it other users with a lock icon. In the following screenshot, two items are being edited by you and the others are all locked by other users (or possibly a workflow process):

If items only have minor versions saved and not yet a major version, the status of items will indicate the item is "awaiting first check-in."

Save, finish and revert

When you select Save, you are saving your unsaved changes as a new minor version. Every time you save the item, you increase the minor version number (for example, from 6.0 to 6.1).

When you select Finish, you save all your changes as a new major version. This includes both previously saved changes and any changes that are not yet saved.

It you wish to disregard all your changes, select Revert. The item returns to the last major version before you began editing and is unlocked to other users.

Items in workflow

If your organization is using workflow, such as to add a review step to the editorial process, the flow is somewhat different. In particular, note the following:

  • When an item goes into workflow, it is automatically locked.
  • When an item is in a Bundle that is part of a workflow process, the item will be locked when workflow is started on the Bundle.
  • A major version is not created until the end of a workflow process and the last activity is finished.
