Finalise

Once the review stage has been completed, tasks return to the Translation Lead for finalisation.

Before you begin

You must be a Translation Lead with appropriate permissions within the group matrix to be able to perform, or re-assign finalisation tasks to Translators.

For TMS jobs, you must have fully completed the translation in TMS. If you have not, the Finalise task will not complete and will keep re-appearing in your task list. If this occurs, complete the translation in TMS and click Save only, do not progress or Submit the job in TMS. Then log back to Helix and complete the finalisation task.

About this task

A finalisation task is only available for action in your task list once the associated review task has been completed.

Procedure

  1. Within your Helix task list navigate to the job with a Finalise task type status.
  2. Check the box for the task.
  3. Scroll to the quick view area at the bottom of the page and review the details of the job.
  4. Click Own to complete the task yourself.
    Note that finalise tasks can be assigned to other Leads or Translators for completion by entering their name in the Assign To box. This then moves the task to their task list.
  5. Click Start to begin working on the task.

    Finalisation tasks may include actions such as Spot Checking, QA Checks and Updating TMs.

  6. Use the Stop button to pause finalising, for example when taking a break. Click Start to begin tracking time again when the break has finished.
  7. When the finalise tasks is complete enter the Finalised File Location subfolder.
  8. If the task was outsourced to an external vendor:
    1. Review the On-Time Delivery scores for the Translate and Review tasks (if applicable) if the scores have not yet been inputted or if any changes are required. If any delivery was late, amend the On-Time Delivery scores. The more impactful the delay is, the lower the score should be. Please take into consideration the delay itself, but also any heads-up the external vendor might have provided.
    2. Add a Translation Quality score as provided by the reviewer. If no score is available, please select a reason for not providing a score.

      Review Quality can only be assessed by editing the Job Record.

    3. If needed, click Add a Quality Evaluation to add a Quality Evaluation for the Translation done by an external vendor. This will take you to a different screen where you will be able to select a score and upload a Quality Evaluation file.
  9. Click Complete.

Results

The task moves to the task list of the Project Management Office for further action.
The Empower Network Outsourcing purchase orders are automatically marked as Done.
TMS Jobs

Depending on the settings in the job, the job progresses through various workflows:

· If the job requires technical delivery work the job moves to the Post Processing stage.
· If the job has no technical delivery or Client Review it moves to the Job Completion stage.
· If the job has Client Review and the client approves the translation the job, the job is passed back to the PMO.
· If the job has Client Review and the client requests changes, the job is passed back directly to the LO.
On-Time Delivery Scoring Guidelines
One star (Poor)Delivered late, and SDL not informed in advance. Impacted work organization and jeopardized delivery to reviewer/client.
Two stars (Below standard)Delivered late, but SDL informed in advance. Impacted work organization and delivery to reviewer/client.
Three stars (Satisfactory)Delivered slightly late, and SDL not informed in advance. Impacted work organization but did not jeopardize production or delivery to client.
Four stars (Good)Delivered slightly late, but SDL informed in advance. Did not impact delivery to reviewer/client.
Five stars (Excellent)Delivered in time or in advance for comfortable processing by SDL.
Quality Scoring Guidelines
One star (Poor)

Shows incapacity to express ideas in the target language. Most parts of the translation are difficult to understand first time and require re-reading.

Very high number of meaning and/or language, grammar, spelling and terminology and style errors.

Presence of many serious errors and/or 1 or several critical errors.

Required extensive rework (review productivity is equivalent to translation metrics).

Overall quality is poor (approximately equivalent to a low-to-poor fail in SDL Quality Evaluation scorecard).

Two stars (Below standard)

Almost all of the text reads like a translation rather that an original text written in the target language. Some parts are difficult to understand first time and require re-reading.

High number of meaning and/or language, grammar, spelling and terminology and style errors.

Presence of a considerable number of serious errors but no critical errors.

Required significant rework (review productivity is below the average metrics).

Overall quality is below standard (approximately equivalent to a mid-to-borderline fail in SDL Quality Evaluation scorecard).

Three stars (Satisfactory)

Some parts of the translation read naturally like an original text written in the target language, but others read like a translation.

Some meaning and/or language, grammar, spelling, terminology and style errors.

Presence of some minor and serious errors.

Required some rework (review productivity is average or slightly low).

Overall quality is satisfactory (approximately equivalent to a borderline pass in SDL Quality Evaluation scorecard).

Four stars (Good)

A big part of the translation reads naturally like an original text written in target language.

Low number of meaning and/or language, grammar, spelling, terminology and style errors.

Presence of minor errors mainly and only the occasional serious error.

Required minor rework (review productivity is average to high).

Overall quality is good (approximately equivalent to a good pass in SDL Quality Evaluation scorecard).

Five stars (Excellent)

All or almost all of the translation reads naturally like an original text written in the target language.

Only minimal meaning and/or language, grammar, spelling and terminology and style errors.

Presence of very isolated minor errors only and no serious errors.

Minor to no rework required, mainly enhancements and polishing (review productivity is high).

Overall quality is excellent (approximately equivalent to an excellent pass in SDL Quality Evaluation scorecard).
