Fowarding a project

When you are done with the task assigned to you in the workflow, you must forward the Project to the next task and user in the workflow.

About this task

Forwarding a Project to another task and user provides that user with access to the Project and data, and transfers the ownership of the Project to him or her. When you forward the Project it leaves your desktop and you no longer have access to it. Only the current owner (user), and users assigned the role of ProjMan, have access to a Project.

Procedure

  1. Click the Project object in either the hierarchy or the object display area then right-click and click Forward from the drop-down list.
    The Forward dialog box appears.
  2. Click the button to the right of the Forward to field to access a list of the next available tasks in the workflow.

    If there is only one task to which you can forward the Project, no list appears. If there is a task list, select the task to which you want to forward the Project by clicking on the task in the list.

  3. Click the button to the right of the User field to access a list of users assigned to the selected task.
    • If there is only one user assigned to the task, no list appears.
    • If there is a user list, select the user to whom you want to forward the Project by clicking on the name in the menu.

    If a workpool is assigned to the task, you can select the workpool and the Project is moved to all desktops of users assigned to the workpool.

  4. You can enter notes to the next user in the Notes content area in the center of the dialog box.
    If you do not enter a Note, only the system-generated note is sent, which contains information about the Project forward action—that is, who sent it and when.
  5. Click Apply.
    The Forward dialog box disappears, and Contenta:
    • Places the Project on the selected user’s desktop thereby making it accessible to the next user.
    • Transfers Project ownership to the selected user.
    • Sends a forwarding note to the selected user’s desktop.
    • Updates the Project routing history.
    • Performs the trigger command if one is specified in the workflow.
    • Removes the Project from your desktop thereby making it inaccessible to you.
