Modifying workflows

If you modify a workflow that is already used by one or more tasks, the existing tasks will still use the original version of the workflow and your changes will be applied only to newly created project groups and tasks.

About this task

The new Workflow Editor has a limitation on the number of characters you can enter in text boxes. Thus, you can enter a maximum of 255 characters in small text boxes and 1024 characters in large text boxes. WorldServer will truncate longer values.

Procedure

  1. In WorldServer, go to Management > Workflow > Workflows.
  2. Click the name of the workflow that you want to modify.
  3. On the Workflow: <name> page, do one or both of the following:
    • Modify the name of the workflow, its description, or any custom attribute that may be defined, and then select Save.
    • Select Launch Workflow Editor to modify steps and transitions in the workflow.
  4. Optional: Modify existing steps and transitions by selecting them, and then specifying the appropriate information.
  5. Optional: Insert new steps, configure them, and then connect them through transitions.
  6. Optional: Cut, copy, paste, or delete steps by selecting the appropriate buttons.
    In the old Workflow Editor, these buttons are on the toolbar, under the menu. In the new Workflow Editor, these buttons are on a toolbar on the lower part of the screen.

  7. Optional: If necessary, change the way in which your workflow is represented in the new Workflow Editor:
    • To select multiple steps and transitions at the same time, select Activate the lasso tool The Activate the lasso tool button in the new Workflow Editor., draw a rectangle that includes all the steps and transitions that you want to select, and then move those steps and transitions around.
    • To zoom in, select Ctrl+Plus sign.
    • To zoom out, select Ctrl+Minus sign.
  8. Do one of the following:
    • Select Save to save your current workflow as it is.
    • Select Save as to save it as a new workflow.
  9. Close the Workflow Editor.
  10. On the Workflow: <name> page, select Save.
