Vendor order template strategies and their behavior
When you configure vendor order templates, you must specify the strategy which controls the generation of and the number of vendor orders and of vendor quotes.
Final quote after batch is completed (default strategy)
- What is the behavior of the Final quote after batch is completed strategy in standard use cases?
For a standard workflow which includes the Project Planning task, and which is included in a project that has 1 batch of files, after the Project Planning task is completed, the following operations are triggered in the system.
- The system generates the following vendor tasks: Vendor Quote Generation, Vendor Quote Review, and Vendor Quote Approval.
- The system generates one Vendor Quote Generation task, one Vendor Quote Review task, and one Vendor Quote Approval task for all the files and all the tasks assigned to a vendor order template.
- One vendor quote and one vendor order are available in the system.
When configuring a vendor order template, select this option if you are certain that all the files/tasks assigned to a vendor will remain with that vendor and no reassignment is needed. After the workflow reaches its end, the vendor quote is adjusted if there have been cancelled files. If you add a 2nd batch of files, the vendor tasks are generated again by the system, a second vendor quote is available.
- When are the vendor order and vendor quote visible for users?
The vendor order and the vendor quote are created when the translation batch is started by the workflow, but these become visible in the UI after the Vendor Quote Generation task is created.
- How does the presence of the Analysis task and of the Project Planning task (in the workflow) influence the generation of vendor orders and of vendor quotes?
- If the workflow includes the Analysis task and the Project Planning task, the vendor order and the vendor quote are updated after the Project Planning task is completed.
- If the workflow does not include the Analysis task, but the Project Planning task is included, the Vendor Quote Generation task is generated, the vendor order is generated, the vendor quote is generated with additional costs but with 0 translation costs. The Vendor Quote Review task is generated with additional costs, but with 0 translation costs.
- If the workflow does not include the Analysis task, and the Project Planning task is also not included, the Vendor Quote Generation task is skipped, the vendor order is not generated, the vendor quote is not generated. The Vendor Quote Review task is generated, and it does not include any quote.
- How does the distribution of vendor project managers across the languages in a vendor order template influence the number of generated vendor orders and vendor quotes generate?
- If the vendor order template has only one target language configured, and one or more vendor project managers assigned, then all the vendor project managers receive the same vendor order and vendor quote.
- If the vendor order template has several target languages configured, and the same vendor project managers (one or more) assigned to all the target languages, then all the vendor project managers receive one vendor order and one vendor quote.
- If the vendor order template has several target languages configured, and different vendor project managers (one or more) assigned the target languages, then the number of vendor orders and vendor quotes received by vendor project managers differs. For example, the vendor order template has 2 target languages (ES-ES, DE-DE) and the following assignees: V1 and V2 for ES-ES, and V3 and V4 for DE-DE. The vendor project managers assigned to ES-ES (namely V1 and V2) receive one vendor order and one vendor quote, while the vendor project managers assigned to DE-DE (namely V3 and V4) receive another vendor order and vendor quote.
- How does the presence of the Language Planning task in the workflow influence the generation of vendor orders and vendor quotes?
The workflow includes an Analysis task, but it does not include a Language Planning task. Let's assume that the project includes 3 target languages (FR-FR, DE-DE, ES-ES).
- If the same vendor project manager is assigned to all the target languages in the vendor order template, then the following tasks are generated: one Vendor Quote Generation task, one Vendor Quote Review task, and one Vendor Quote Approval task. The system generates one vendor order and one vendor quote.
- If different vendor project managers are assigned to the target languages in the vendor order template, then the following tasks are generated: 3 Vendor Quote Generation tasks, 3 Vendor Quote Review tasks, and 3 Vendor Quote Approval tasks. The system generates 3 vendor orders and 3 vendor quotes.
The workflow includes an Analysis task and a Language Planning task for all target languages. Let's assume that the project includes 3 target languages (FR-FR, DE-DE, ES-ES).- If the same vendor project manager is assigned to all the target languages in the vendor order template, then the following tasks are generated: 3 Vendor Quote Generation tasks, 3 Vendor Quote Review tasks, and 3 Vendor Quote Approval task. The system generates 3 vendor orders and 3 vendor quotes.
- If different vendor project managers are assigned to the target languages in the vendor order template, then the following tasks are generated: 3 Vendor Quote Generation tasks, 3 Vendor Quote Review tasks, and 3 Vendor Quote Approval tasks. The system generates 3 vendor orders and 3 vendor quotes.
The workflow includes an Analysis task and a Language Planning task for some target languages. Let's assume that the project includes 3 target languages (FR-FR, DE-DE, ES-ES). The Language Planning task is enabled for DE-DE, and skipped for FR-FR and ES-ES.
- After the Analysis task is completed, the system passes the DE-DE file onto the Language Planning task. If the same vendor project manager is assigned to both FR-FR and ES-ES, then the system generates one Vendor Quote Generation task (for FR-FR and ES-ES combined), one Vendor Quote Review task (for FR-FR and ES-ES combined), and one Vendor Quote Approval task (for FR-FR and ES-ES combined). If different vendor project managers are assigned to FR-FR and ES-ES, the system generates the following tasks for the FR-FR file and the ES-ES file: 2 Vendor Quote Generation tasks (one for FR-FR, one for ES-ES), 2 Vendor Quote Review tasks (one for FR-FR, one for ES-ES), and 2 Vendor Quoter Approval tasks (one for FR-FR, one for ES-ES).
- After the Language Planning task is completed for DE-DE, the system generates (for DE-DE): one Vendor Quote Generation task, one Vendor Quote Review task, and one Vendor Quote Approval task.
Per file
- What is the behavior of the Per file strategy in standard use cases?
Select this option if you want to have the vendor quote generated per file exactly when the file reaches the assigned vendor.
- The system generates the following vendor tasks for each target language of each source file: Vendor Quote Generation, Vendor Quote Review, and Vendor Quote Approval.
- The system generates as many Vendor Quote Generation tasks, as many Vendor Quote Review tasks, and as many Vendor Quote Approval tasks as available source file-target language combinations specified in the vendor order template.
- Several vendor quotes and vendor orders are available in the system.
For example, if a Translation task, which consists of 1 file and of 1 target language, is assigned to a vendor, the vendor quote will be generated only when the file reaches the Translation task in the workflow. The system will generate one Vendor Quote Generation task, one Vendor Quote Review task, and one Vendor Quote Approval task. One vendor quote is available in the system.
A second example is where a Translation task, which consists of 2 files and 2 target languages, is assigned to a vendor. The vendor quotes will be generated for each target file when each file reaches the Translation task in the workflow. In other words, the system will generate 4 Vendor Quote Generation tasks, 4 Vendor Quote Review tasks, and 4 Vendor Quote Approval tasks. Four vendor quotes are available in the system, one per file.
If you cancel a file, the vendor order and the vendor quote for that file are readjusted immediately after the file is cancelled.
- When are the vendor order and vendor quote visible for users?
The vendor order and the vendor quote become visible in the UI when the file reaches the main task.
- How does the presence of the Analysis task and of the Project Planning task in the workflow influence the generation of vendor orders and vendor quotes?
The presence or absence of the Project Planning task does not influence the generation of vendor orders and vendor quotes.
- If the workflow includes the Analysis task, the vendor order and vendor quote are generated when the file reaches the main task.
- If the workflow does not include the Analysis task, the vendor order and vendor quote are note generated when the files reach the main task. The Vendor Quote Generation task is skipped. The Vendor Quote Review task is generated, and it does not include any quote.
- How does the distribution of vendor project managers across the languages in a vendor order template influence the number of generated vendor orders and vendor quotes?
- If the vendor order template has only one target language configured, and one or more vendor project managers assigned, then all the vendor project managers receive the same vendor order and vendor quote.
- If the vendor order template has several target languages configured, and the same vendor project managers (one or more) assigned to all the target languages, then all the vendor project managers receive as many vendor orders and as many vendor quotes as files per target language.
- If the vendor order template has several target languages configured, and different vendor project managers (one or more) assigned the target languages, then the number of vendor orders and vendor quotes received by vendor project managers differs. For example, the vendor order template has 2 target languages (ES-ES, DE-DE), 2 files, and the following assignees: V1 and V2 for ES-ES, and V3 and V4 for DE-DE. The vendor project managers assigned to ES-ES (namely V1 and V2) receive 2 vendor orders and 2 vendor quotes, while the vendor project managers assigned to DE-DE (namely V3 and V4) receive another 2 vendor orders and 2 vendor quotes.
- How does the presence of the Language Planning task in the workflow influence the generation of vendor orders and vendor quotes?
If the workflow includes a Language Planning task enabled for all or some of the target languages, then the number of vendor orders and vendor quotes is the multiplication result of target languages x number of files. For example, for a project which has 2 files and 3 target languages, the system generates 6 vendor orders, 6 quotes, 6 Vendor Quote Generation tasks, 6 Vendor Quote Review tasks, and 6 Vendor Quote Approval tasks.
Wait for all files
- What is the behavior of the Wait for all files strategy in standard use cases?
Select this option if you want to have the vendor quote generated after all the files assigned to a vendor reach their tasks. If some files reach the task, while others do not, the system waits for the rest of the files to reach the task for 1 day. You can adjust the waiting time in the available menu.
- The system generates the following vendor tasks: Vendor Quote Generation, Vendor Quote Review, and Vendor Quote Approval.
- The system generates one Vendor Quote Generation task, one Vendor Quote Review task, and one Vendor Quote Approval task for all the files and all the tasks assigned to a vendor order template after all the files assigned to a vendor reach their task.
- One vendor quote and one vendor order is available in the system.
For example, a project, which consists of 4 files and 1 target language, includes a Linguistic Review task assigned to a vendor. At 14:00 GMT today, 3 files reach the Linguistic Review task, while 1 file is still in Translation. The system waits for the 4th file until 14:00 GMT the next day.
- If the 4th file reaches the Linguistic Review task by 14:00 GMT the next day, the system will generate one Vendor Quote Generation task, one Vendor Quote Review task, and one Vendor Quote Approval task for the 4 files. One vendor quote is available in the system.
- If the 4th file does not reach the Linguistic Review task by 14:00 GMT the next day, the system will generate one Vendor Quote Generation task, one Vendor Quote Review task, and one Vendor Quote Approval task for the 3 files which reached the Linguistic Review task. One vendor quote will be available in the system at this point. When the 4th file finally reaches the Linguistic Review task, the system does not generate the vendor tasks again, but the cost of the 4th file will be added to the already generated vendor quote.
- When are the vendor order and vendor quote visible for users?
The vendor order and the vendor quote become visible in the UI after all the files reach the main task and the waiting time has elapsed. After the waiting time has elapsed, the vendor orders and vendor quotes are readjusted automatically when the remaining files reach the main task. No negotiation is triggered for these remaining files, which means that the system does not produce any further Vendor Quote Generation task, any Vendor Quote Review task, or any Vendor Quote Approval task.
- How does the presence of the Analysis task and of the Project Planning task in the workflow influence the generation of vendor orders and vendor quotes?
The presence or absence of the Project Planning task does not influence the generation of vendor orders and vendor quotes.
- If the workflow includes the Analysis task, the vendor order and vendor quote are generated when all the files reach the main task, and the waiting time has elapsed.
- If the workflow does not include the Analysis task, the vendor order and vendor quote are note generated when the files reach the main task. The Vendor Quote Generation task is skipped. The Vendor Quote Review task is generated, and it does not include any quote.
- How does the distribution of vendor project managers across the languages in a vendor order template influence the number of generated vendor orders and vendor quotes?
The project includes 2 source files (F1 and F2) which need to be localized in 3 target languages: DE-DE, FR-FR, ES-ES. The same vendor project manager (V1) is assigned to DE-DE and FR-FR, but another vendor project manager (V2) is assigned to ES-ES. The waiting time is set to 1 day.
- File F1 reaches the main task for DE-DE and FR-FR. Vendor project manager V1 receives one vendor order and one vendor quote for F1, for DE-DE and FR-FR combined.
- File F1 reaches the main task for ES-ES. Vendor project manager V2 receives one vendor order and one vendor quote for F1, for ES-ES.
- File F2 reaches the main task for FR-FR. The initial quote received by vendor project manager V1 is adjusted to reflect the new FR-FR file.
- The system waits for F2 to reach the main task for DE-DE and ES-ES.
- If the remaining files reach the main task before the waiting time expires, the negotiation begins for all the 6 files. The following tasks are generated: one Vendor Quote Generation task, one Vendor Quote Review task, one Vendor Quote Approval task.
- If the remaining files do not reach the main task before the waiting time expires, the negotiation begins for the 4 files. As soon as the 2 remaining files reach the main task, the vendor quote is adjusted automatically without the system generating any Vendor Quote Generation task, any Vendor Quote Review task, any Vendor Quote Approval task.
If the same vendor project manager (V1) is assigned to all target languages, the scenario above remains the same, but vendor project manager V1 receives one vendor order and one vendor quote for all the files and all target languages combined
- How does the presence of the Language Planning task in the workflow influence the generation of vendor orders and vendor quotes?
If the workflow includes a Language Planning task enabled for all the target languages, then the number of vendor orders and vendor quotes will reflect the number of target languages. For example, if the project has 2 files and 3 target languages, the system generates 3 vendor orders, 3 vendor quotes, 3 Vendor Quote Generation tasks, 3 Vendor Quote Review tasks, and 3 Vendor Quote Approval tasks.
If the workflow includes a Language Planning task enabled for some of the target languages, then the number of vendor orders differs. For example, the vendor order template is enabled for the Translation task and the vendor order template has 3 target languages (ES-ES, DE-DE, FR-FR). The waiting time is 1 day. When the Project Planning task is completed, the system generates one vendor order (which covers all three target languages) and one vendor quote. The Language Planning task is enabled for FR-FR, but not for ES-ES and DE-DE. The ES-ES and DE-DE files wait for 1 day.- If the Language Planning task is completed for FR-FR within the waiting time, and there is only one vendor project manager for all languages, the system generates 3 vendor orders, 3 vendor quotes, 3 Vendor Quote Generation tasks, 3 Vendor Quote Review tasks, and 3 Vendor Quote Approval tasks.
- If the Language Planning task is not completed for FR-FR within the waiting time, and there is only one vendor project manager for all languages, for DE-DE and ES-ES, the system generates 2 vendor orders (one for DE-DE, one for ES-ES), 2 vendor quotes (one for DE-DE, one for ES-ES), 2 Vendor Quote Generation tasks (one for DE-DE, one for ES-ES), 2 Vendor Quote Review tasks (one for DE-DE, one for ES-ES), and 2 Vendor Quote Approval tasks (one for DE-DE, one for ES-ES). When the Language Planning task is completed for FR-FR, the vendor order and vendor quote are adjusted automatically, but the system does not generate any further Vendor Quote Generation task, any Vendor Quote Review task, any Vendor Quote Approval task.
- If the Language Planning task is completed for FR-FR within the waiting time, and there is one vendor project manager for ES-ES and DE-DE, and another vendor project manager for FR-FR, then the system generates one vendor order and one set of vendor-related tasks for FR-FR, and another vendor order and another set of vendor-related tasks for ES-ES and DE-DE combined.
- If the Language Planning task is not completed for FR-FR within the waiting time, and there is one vendor project manager for ES-ES and DE-DE, and another vendor project manager for FR-FR, then, after the waiting time has elapsed, the system generates one vendor order and one set of vendor-related tasks for ES-ES and DE-DE combined. When the Language Planning task is completed for FR-FR, the system generates a vendor order and a vendor quote, but the system does not generate any further Vendor Quote Generation task, any Vendor Quote Review task, any Vendor Quote Approval task.
