Configuring Bilingual Excel file types

You can configure Bilingual Excel settings to customize processing for this file type during translation or review. Use this file type to extract content from Microsoft Excel files where the source and target text is organized into the columns of a spreadsheet.

About this task

These settings specify how Trados Studio extracts the content of source and target columns and how it displays it for translation in the Editor view. If your spreadsheet includes additional columns with reference information, you can also extract their content as comments or as document structure information. When you save and generate the target translation, Trados Studio places the translated content inside the target Translation column of your Excel spreadsheet.

Procedure

  1. To configure file type settings, go to:
    • Projects view > Home > Project Settings, for the active project.
    • File > Options, for all future projects.
  2. Expand File Types and select Bilingual Excel.
  3. On the Common page, customize what content becomes translatable:
    • Source column - index of the column that contains the source text.
    • Translation column - index of the column that contains the target text.
    • Length limitation column - name of the column that specifies the maximum number of characters admitted for translation.
    • First line is column heading - ignores the first row in the Excel file when you do not want to translate column headings. Disable this if you need to extract column headings for translation.
    • Translation column content - ignores content from the target language column .
    • Cells containing formatted numbers - ignores cells that contain formatted numbers.
    • Cells with numeric content - extracts numeric content and its formatting for translation. Formatting applies to cell level only, and not to inline formatting.
    • Confirm existing translations - extracts strings from the target language column into Studio and automatically marks them as Confirmed.
    • Lock existing translations - locks strings from the target language column in the Editor. Locked segments cannot be edited.
    • Context information - name of the column that contains reference information such as the location of the strings in the source document or application. For example, context information such as header, table cell, button, list item is displayed in the Editor view when you click the code of the segment inside the Document Structure column.
    • Comment information - name of the column which that contains instructions for translating the source strings. For example, the following text can be extracted as comments: "Download is the name of the button. Translate this as a verb."
  4. On the QuickInsert page, customize the QuickInsert settings for the QuickInsert group for this type of file.
  5. On the Embedded content page, customize how embedded content is processed:
    • Enable embedded content processing - extracts content embedded in the document in one of the following ways:
      • Extract on defined document structure - extracts content based on document structure rules. Click Add to add Document structure information.
      • Extract in all paragraphs - extracts all paragraphs that meet Tag definition rules. Click Add to add new definition rules.
  6. Click OK to close the window.
