Creating and updating a Dynamic Address Book

Before you begin

To create or manage a Dynamic Address Book you must have Tridion system administration privileges.

About this task

A Dynamic Address Book contains a list of Contacts that share common interests, preferences or characteristics. A Dynamic Address Book is defined using filters. Contacts are added automatically to the group depending on whether their field values match the criteria defined in the search filter.

Procedure

  1. Open the Content Manager Explorer.
  2. In the System Administration view, navigate to the Audience Management node.
  3. To create a Dynamic Address Book, select the Audience Management node and choose New > Dynamic Address Book from the context menu.
    A New Dynamic Address Book window appears.
  4. To edit a Dynamic Address Book, select the Dynamic Address Book you want to edit and choose Properties from the context menu.
  5. In the General tab, enter a Name. In the Based on drop-down list you can select an Address Book to base your Address Book on, in which case filters defined in the parent Address Book are included with the filters defined in the child Address Book:
  6. In the Outbound E-mail tab, you can filter on Contacts using general Mailing information:
    • E-mail address—fill in all or part (the first characters) of an email address
    • E-mail type—the Contact’s preferred e-mail format. Select either HTML, Text, or Multi-part.
    • Subscription status—select one of the following options:
      • Opted-in—the Contact registered as a subscriber and confirmed the registration.
      • Subscribed—the Contact registered as a subscriber, but did not yet confirm the registration.
      • Unsubscribed—the Contact would not like to receive e-mail.
    • Email error status—select one of the following options:
      • No problem—e-mails sent to this Contact arrived without incident.
      • Temporary problem—e-mails sent to this Contact encountered a temporary problem (for example, the Contact’s e-mail Inbox was full).
      • Hard bounce—e-mails sent to this Contact encountered a permanent problem (for example, the domain of the e-mail address did not exist).
    • Active—select Yes or No indicating Contacts who can or cannot receive e-mails.
  7. In the Details tab, specify Contact's extended details you want to filter on using GUID-B9E0CEAE-F451-4093-91A2-9CC297F8EC41.html#CONCEPT_CCD62EA017AA4133A6D110C6AB9A4C36.
  8. In the Categories and Keywords tab, you can specify Keyword criteria to filter Contacts on their assigned Keywords. To add Keywords to the filter:
    1. Click Add.
    2. Browse to and select a Keyword.
    3. Click Insert.
    4. Repeat the procedure to add more Keywords.
    5. Click Close when you have finished adding Keywords.
    6. Select the Limit results check box to only include Contacts who have ALL the listed Keywords in their Contact details (leaving the Limit results check box deselected includes Contacts who have one or more of the listed Keywords).
  9. Click the Save and Close button on the toolbar.

Results

Outbound E-mail creates or updates the Dynamic Address Book based on the specified search criteria (filter fields). The Dynamic Address Book contains Contacts who meet the search criteria specified.

Updating a Dynamic Address Book by changing the filters will likely result in Contacts being added and/or removed from the Address Book.
